POSITION DESCRIPTION: The Assistant Director of DDS Residential Services 1 is responsible for overseeing the House Managers staffing and operations of multiple group homes for adults with disabilities. The Assistant Director will train and supervise staff members. Ensure that the homes are safe, clean, and comfortable at all times. Makes certain that individuals are given all needed support to help them live as independently as possible, maintain optimal health and are given sufficient opportunities to engage in their desired activities and interests at home and in the community.
RESPONSIBILITIES:
- Treat each individual, co-worker, supervisor and others with the respect and dignity due every human being and adhere to the Department Developmental Services (DDS) Human Rights Standards and the Disabled Persons Protection Commissions (DPPC) Mandated Reporter Guidelines around physical and emotional abuse, including the timely reporting of violations.
- Ensure each individual may achieve optimal quality of life (QOL) outcomes for people we support through a person-centered approach utilizing universal strategies, which is the foundation of the quality care and service provided.
- Provide and maintain a safe and warm home environment for individuals in the program. Oversee housekeeping and ensure program is organized and accessible.
- Provide training and supervision to House Managers, Direct Care and Relief staff. Act as a coach/mentor.
- Meet regularly with each House Manager for supervision and complete annual evaluations/Assessments as required.
- Assist or initiate employee disciplinary action up to and including termination.
- Participate in hiring process: conduct initial phone screen/interviews, site visits, reference checks and make recommendations to Senior Director of Residential Services.
- Review status of individuals, staffing, housing concerns, etc. Support assigned individuals at medical appointments as needed.
- Review and approve all bi-weekly timesheets, time off requests, mileage sheets and grocery receipts. Review and approve all individuals spending requests.
- Ensure that staffing requirements/schedule are accurate and complete for each house assigned.
- Ensure that homes operate with budget and overtime is kept to a minimum.
- Act as an appropriate role model through dress, speech, and actions both in the home and community to foster appropriate social relationships and skill development.
- Provide advocacy support and education for individuals in areas of empowerment, self-advocacy, civil and human rights.
- Must provide safe, comfortable transportation as required and follow Agency policies.
- Respond to and effectively perform crisis intervention and call for emergency assistance (911) if appropriate. Provide emergency first aid or CPR, perform fire drills and evacuations, disaster relocation, and handling other crisis management procedures in accordance with program procedures.
- Complete monthly reports and submit to Senior Director of Residential Services.
- Must maintain current certifications in all agency mandated trainings.
- Coordinate ISP process with DDS Service Coordinators for assigned caseload. Ensure that all assessments are completed 10 days prior to the ISP meeting and submitted on time and that Provider Support Strategies (PSS) are completed 15 days after the ISP meeting is held. Complete pre-ISP checklist and quarterly summaries. Attend all ISPs for assigned caseload.
- Ensures that all staff/are trained in knowing how to implement and document PSS and behavioral interventions.
- Collects behavior intervention data and submits to clinical department as required. Also collect and summarizes the PSS implementation data on a quarterly basis and submits as required.
- Manage crisis situations in conjunction with the Senior Director of Residential Services and follow emergency procedures.
- Assure timely reporting and complete documentation of significant incidents, etc., in accordance with DDS regulations.
- Identifies staff training needs and communicates them to the Senior Director of Residential Services or other appropriate personnel.
- Participate in rotating schedule for 24-hour administrative on-call support for individuals and staff in residential services; maintain related documentation. Follow all on-call procedures.
- Explore opportunities for individuals to achieve community membership and make new connections through networking, and thus identifying people in the community as potential bridge builders between the people we support and the community.
- Arrange all staff PTO time off requests with Senior Director of Residential Services. Vacation time must be requested at least two weeks prior to the desired date(s). In the case of illness, you must call out to your supervisor two hours prior to the start of your shift.
- Must arrive on time to scheduled shifts and remain on duty until proper coverage is found.
- Accurately documents all hours worked on the Agency electronic time management system. All timesheets must be submitted timely for approval which act as your electronic signature and approval. Time sheets should reflect employees assigned scheduled unless prior approval was given by supervisor to alter assigned schedule.
- Responsible for maintaining current certification(s) including but not limited to START, CPR/FA, and MAP (if applicable to position).
- Responsible for completing all training assigned in electronic Learning Management System on time or attending any scheduled training. If unable to complete or attend it is the employees responsibility to obtain prior authorization/permission to re-schedule training from Supervisor and notify Human Resources.
- Responsible for routinely checking electronic communications; including but not limited to time off management, BFAIR email, BFAIR portal, and electronic LMS system. These systems should be checked each shift your work.
- Meet with Senior Senior Director of Residential Services or designee monthly for individual supervision; attend weekly staff meetings, training, and attend other meetings as assigned.
- Adhere to agency/personnel policies, DDS regulations, follow emergency procedures and maintain individuals confidentiality in accordance with HIPAA standards.
- The agency reserves the right to revise existing schedules and/or program sites assignments, with notice due to the changing needs of the individuals served and program(s).
- Participate in Quest prep to ensure the department meets all standards to maintain licensure and certification.
- Must complete all training and requirements for DSP Pathways I, II, and III, as well as House Manager Pathways I and II, Human Resources training, and designated Relias courses.
- Participate on two internal committees, not including PBS.
- Perform other duties as assigned by Senior Director of Residential Services and/or designee.
Qualifications
QUALIFICATIONS: Bachelor's degree in related field and a minimum of two years experience providing residential supports or Associates Degree with one additional year of related experience. A minimum of one-year supervisory experience is required with either degree. High school diploma or GED with 4 years working with individuals with disabilities, 2 years in a supervisory capacity. Ability to complete all initial and ongoing background checks including but not limited to: CORI, SORI, Fingerprinting, LEIE, Driving record, E-verify, Physical, PPD and licensing and/or certification checks (i.e., nursing). Valid US drivers license and ready access to a vehicle.
TRAINING REQUIREMENTS: Must maintain all certification needed in the program including CPR, First Aid, MAP, Safe Techniques to Avoid Restraint and Training (START), and BFAIR Human Rights Training. May need to attend workshops, seminars or BFAIR functions as needed for job development.
PHYSICAL REQUIREMENTS AND MENTAL DEMANDS OF POSITION :
Because of the nature of the work to be performed, requirements may include the following at least some of the time while assisting individuals in the completion of their routine tasks. Indoor and outdoor work is required.
