BRIEF DESCRIPTION

The Sales Administrator performs a wide range of administrative and support activities for the General Water Engineering (GWE) sales teams including but not limited to: overseeing the preparation of direct bids, processing new orders and change orders, coordination of trade show activities, and maintenance of CRM database and all associated reporting.

Location: Brooklyn Park, MN (Hybrid)

Pay: $29/32/hr

Travel: 0-10%

Duties and Responsibilties

- Requires a thorough knowledge of KAI’s GWE sales organization and procedures of sales generation, bidding requirements, project hand-off, and technical language

- Good working relationship with KAI’s municipal independent representatives and other industry professionals

- Assist municipal Territory Managers in fielding non-technical questions from reps, contractors, engineers, and website inquiries. Keep them well informed of upcoming commitments and responsibilities, following up appropriately

- Produce and interpret sales support metrics and reporting (e.g., cycle time, backlog, margin, order accuracy), providing insights and recommendations to the sales team and leadership

- Prepare direct bid documentation by consolidating technical and commercial inputs, validating scope/pricing, and ensuring on-time, high-quality submissions in collaboration with the AEs, Estimators, at TMs.

- Perform general and specialized administrative duties for the KAI’s equipment sales efforts

- Assist the Territory Managers and other GWE sales personnel

- Process orders through commercial review in accordance with our ISO 9001 QMS system

- Perform administrative duties for the Sales Director and SVP of GWE

- Perform other duties as assigned.

TECHNICAL REQUIREMENTS

- Bachelors or Associates Degree

- 3+ years of progressive experience in sales support, customer service, order management, or related commercial operations role (equipment/industrial environment preferred).

- Proficiency in Microsoft Office (Excel, Outlook, Word); ability to create and analyze reports and dashboards.

- Experience working in an ERP system required; CRM experience preferred.

- Strong written and verbal communication skills, including customer-facing and cross-functional communication with Sales, Engineering, Operations, and vendors.

- Proven problem-solving and escalation management skills; ability to identify root causes and implement process improvements.
