1- Purpose of the Role (Job Summary)

Run the common data environment and document-control regime so every drawing, submittal, RFI, and record is numbered, versioned, distributed, and easy to retrieve — and handover dossiers build themselves.

2- Key Responsibilities and Accountabilities

· Administer the CDE (Aconex, ACC, or equivalent): workspaces, access, workflows, and distribution matrices.

· Control document numbering, revisions, and status codes; reject non-compliant submissions.

· Process and track transmittals, technical submittals, RFIs, and client correspondence with full audit trails.

· Maintain the master document register and follow up on overdue reviews against the deliverable schedule.

· Distribute controlled documents to internal teams, subcontractors, and consultants; withdraw superseded revisions.

· Support tender document control: receipt, addenda logging, and bid compilation.

· Assemble handover documentation: quality records, O&M manuals, as-builts, and commissioning dossiers.

· Issue weekly document-status reports on outstanding submittals, overdue reviews, and RFI aging.

· Train project staff and subcontractors on CDE workflows and document procedures.

3- Key Performance Indicators

· Zero instances of work executed on superseded revisions.

· Process transmittals and RFIs within 24 hours of receipt.

· No major findings in register audits.

· Weekly status reports issued on time.

· Complete handover dossiers at project gates.

4- Qualifications & Certifications

· Graduate degree or diploma (any discipline; engineering an advantage).

· Certified training on Aconex, ACC, or an equivalent CDE platform.

5- Experience

· 5-10 years in document control on EPC or construction projects; mission-critical or industrial preferred.

· Multi-project, multi-party environments (client, PMC, subcontractors).

· Tender-stage and handover-stage document management.

6- Competencies

· Meticulous, consistent process discipline.

· CDE platform fluency and strong Excel skills.

· Firm but service-oriented with senior engineers.

· Audit-ready organization at all times.

Work Experience

Technical Skills

EDMS and CDE platforms (Aconex, SharePoint, ProjectWise), document management, and MS Office.

Key Interfaces

· Internal: Project Controls, design office, QA/QC, T&C, SCM, project teams, proposals.

· External: Client and PMC document controllers, subcontractor and consultant document teams.
