About this role

Midway University is seeking a detail-oriented, personable part-time Administrative Assistant to support the Vice President of Athletics and the athletics program. This is a newly created position, offering the right candidate a unique opportunity to help shape how the department runs day to day. You'll be the organizational backbone of the Athletics Office — keeping schedules on track, communications flowing, and compliance with paperwork in order — while the role grows alongside the department's needs.

Key Responsibilities

- Manage the Athletic Director's calendar, correspondence, and meeting scheduling

- Serve as a first point of contact for coaches, student-athletes, parents, and campus visitors calling or visiting the Athletics Office

- Maintain and organize department files that may include student-athlete eligibility, and compliance documentation

- Assist with scheduling of games, practices, facility use, and transportation logistics in coordination with coaches and Assistant Athletic Directors

- Prepare and distribute department communications (memos, newsletters, game-day notices)

- Support budget tracking, purchase requests, and invoice processing for the department

- Help coordinate athletic events, including game-day administrative support as needed

- Assist with data entry and recordkeeping for rosters, statistics, and department records

- Support special projects and departmental initiatives as they arise

- Perform other administrative duties as assigned — this role will evolve as the department identifies additional needs

Qualifications

Qualifications

- High school diploma required; associate or bachelors degree preferred

- 1+ years of administrative or office support experience (experience in a school, athletics, or nonprofit setting a plus)

- Strong organizational skills and attention to detail

- Excellent written and verbal communication skills

- Proficiency with Microsoft Office (Word, Excel, Outlook) and comfort learning new software/databases

- Ability to handle confidential information with discretion

- Genuine interest in athletics and student development
