Job Title: Payroll Professional

50% Timekeeping, 50% Payroll Processing

Shift: US Shift Timing

The Payroll Professional acts as a critical link between Business Operations, PX, Benefits, and Accounting teams to ensure seamless multi-state US payroll operations. This intermediate-level role manages end-to-end payroll processing, tax compliance, and system data integrity, ensuring employees are paid accurately and on time while maintaining SOX compliance.

Key Responsibilities

- Payroll Processing:  Manage bi-weekly payroll cycles for multiple legal entities, ensuring all data transactions are processed accurately and on schedule.
- Tax Compliance:  Serve as a subject matter expert for multi-state tax matters, W-2/W-2C processing, and reconciliation to ensure 100% accuracy.
- System Administration:  Leverage proficiency in ADP (Workforce Now) and Workday to manage data imports, audits, and payroll system configurations.
- Helpdesk Support:  Manage the payroll helpdesk by researching and resolving complex employee and third-party queries with precision and excellent customer service.
- Collaboration:  Act as a liaison with HR and Finance teams to prepare reports, reconcile payroll transmissions, and validate report totals.
- Documentation:  Maintain comprehensive payroll documentation and Standard Operating Procedures (SOPs) that reflect current legislative requirements.

Timekeeper - Position Summary

The Timekeeper is responsible for maintaining accurate records of time worked by employees across the organization. This role ensures compliance with labor laws and organization-specific policies, focusing on the accurate tracking of hours, overtime, and leave to facilitate seamless payroll processing.

Key Responsibilities

- Attendance Tracking:  Monitor and verify daily staff attendance and ensure accurate collection of timesheets/timecards.
- Data Integrity:  Review timekeeping data for errors, validate entries, and coordinate corrections with managers and employees.
- Processing:  Calculate and initiate payroll-related data, including adjustments for paid time off, overtime, bonuses, and commission.
- Policy Compliance:  Ensure timekeeping practices align with federal/state labor laws and company policies.
- Employee Support:  Provide information to employees regarding payroll/timekeeping policies and investigate or resolve discrepancies.
- System Maintenance:  Update timekeeping, payroll, and benefits data in HRIS solutions, particularly during status changes like promotions, transfers, or terminations.

Qualifications & Skills

- Experience:  5+ years of progressive experience in multi-state US payroll operations within a shared service environment and 3​+ years of experience in a payroll, HR, or timekeeping-focused administrative role.
- Technical Proficiency:  Expert-level knowledge of ADP Workforce Now (WFN) and Workday required. Proficiency in Microsoft Excel (VLOOKUP, Pivot Tables) and common timekeeping software (e.g., ​UKG/Kronos, ADP, ​ Workday or similar).
- Compliance Knowledge:  Deep understanding of legislation and regulations for multi-state taxation and multi-legal entity payroll.
- Analytical Skills:  Proven track record in payroll reconciliation, auditing, and problem-solving.
- Accuracy:  Strong attention to detail and commitment to maintaining data integrity.
- Communication:  Excellent interpersonal skills for interacting with employees and managers regarding sensitive payroll issues.
- Education:  Preferred: BS/BA degree in Accounting, Business, or a related field (or equivalent professional experience). Minimum qualification, High school diploma required; Associate’s degree in Business or HR preferred.
