Reporting within Human Resources, this position provides Division-wide coordination and support for employee health, disability management, leave administration, return-to-work planning, and occupational health and safety programs. The Coordinator plays a key role in administering employee health processes, coordinating safety initiatives, supporting legislative compliance, and contributing to the continuous improvement of programs that promote employee well-being and workplace safety across the Division.
As a trusted resource to employees, leaders, schools, and departments, you will help ensure employees are supported throughout leave and return-to-work processes while contributing to a strong culture of health, safety, and wellness.
RESPONSIBILITIES
Employee Health Services Administration & Leave Coordination
- Coordinate and maintain confidential employee health files, records, and documentation in accordance with privacy and records management requirements
- Administer routine and non-complex employee health and disability management processes, including medical leaves, modified duties, Early Intervention Program cases, and return-to-work activities;
- Track employee medical leaves, disability benefits, leaves of absence, and associated documentation and timelines;
- Calculate waiting periods, sick leave credits, prorated entitlements, payroll cut-off dates, and return-to-work timelines
- Submit work-related claims and referrals through WCB and insurance provider system;
- Support injury management processes in collaboration with Employee Health Services and Occupational Health and Safety Advisors
- Provide information and guidance to employees and leaders regarding medical leave processes, benefits, and available support service;
- Prepare and maintain reports related to leave utilization, modified work programs, trends, funding, and program improvement initiatives.
Occupational Health & Safety Program Support
- Supporting the implementation and coordination of the Division's Occupational Health and Safety (OHS) program;
- Assisting with the development, review, and maintenance of safe operating procedures, safety documentation, and program resources;
- Coordinating OHS inspections, audits, and corrective action follow-up activities across schools and Division sites;
- Supporting compliance monitoring and maintaining records to meet legislative and organizational requirements;
- Coordinating key safety initiatives, including the Hearing Conservation Program, sharps disposal program, AED program, and First Aid program;
- Coordinating OHS training activities and maintaining training records;
- Collecting, tracking, and analyzing incident, injury, and compliance data to support continuous improvement effort;
- Preparing reports and supporting committees, advisors, and senior administration with workplace health and safety information.
Program Support & Continuous Improvement
- Serve as a resource to schools and departments on employee health, disability management, leave administration, and workplace safety processes;
- Resolve routine employee health and safety inquiries while escalating complex matters as appropriate;
- Provide operational and administrative support to Employee Health Services and Occupational Health and Safety team members;
- Participate in special projects, cross-functional initiatives, training sessions, and wellness activities;
- Maintain department website and intranet content to ensure resources and information remain current and accessible;
- Stay informed of emerging practices, legislative changes, and industry developments in disability management, employee health, and occupational health and safety.
QUALIFICATIONS
- A diploma in Occupational Health and Safety, Disability Management, or a related field;
- A minimum of three years of related experience in disability management, occupational health and safety, employee health services, or a combination of these areas;
- BCCRSP, DCMP, or related professional designation, or progress toward certification is considered an asset;
- Familiarity with COR standards and internal audit process is considered an asset;
- Experience supporting workplace inspections, audits, incident investigations, and corrective action processes;
- Knowledge of disability management principles, group benefit plans, injury management, return-to-work practices, and leave administration;
- Knowledge of Alberta Occupational Health and Safety legislation, Workers' Compensation Board legislation, workplace safety requirements, and related regulatory obligations;
- Knowledge of records management practices and privacy requirements, including the handling of confidential employee health and medical information;
- Experience maintaining accurate records, preparing reports, and using databases and reporting systems;
- Proficiency with Microsoft 365 applications, including Word, Excel, Outlook, and SharePoint.
