Job Title: Client Coordinator Job Description
The Client Coordinator serves as a key point of contact for customers and business partners, ensuring a seamless and professional customer experience. This role manages inbound customer communications, maintains and updates client information, supports customer portals, and provides comprehensive administrative support. The Coordinator is cross-trained across two critical support functions within the organization and provides backup coverage for both teams as needed, helping to maintain continuity of service and operational efficiency in a growing, dynamic environment.
Responsibilities
- Serve as a primary point of contact for customers and business partners, responding promptly and professionally to inbound calls, emails, and other communications.
- Manage inbound customer communications using multiple phone systems, including both automatic dialer and non-automatic systems, and ensure calls are handled efficiently and accurately.
- Maintain accurate and up-to-date client information in internal systems, databases, and customer portals.
- Update and manage customer portals to ensure information is current, complete, and accessible to internal stakeholders and external partners.
- Provide administrative and clerical support to the team, including data entry, document preparation, and record maintenance.
- Support two critical internal support functions by being cross-trained on their processes and tools, and provide backup coverage to both teams as needed.
- Coordinate with internal teams to resolve customer issues, answer questions, and ensure a high level of service and satisfaction.
- Organize and prioritize daily tasks to manage multiple responsibilities in a fast-paced environment while maintaining strong attention to detail.
- Collaborate with colleagues in an office setting to share information, streamline workflows, and support overall operational efficiency.
- Work both independently and as part of a team to meet service expectations and contribute to the organization’s growth.
Essential Skills
- 2+ years of experience in customer service, administrative support, insurance operations, or a closely related field preferred.
- Strong verbal communication skills, with the ability to speak clearly, professionally, and effectively with customers and business partners.
- Strong written communication skills, including the ability to compose clear, concise, and accurate messages and documentation.
- Excellent organizational skills, with the ability to manage information, tasks, and priorities effectively.
- High attention to detail to ensure accuracy in client records, customer portals, and administrative documentation.
- Ability to manage multiple tasks simultaneously in a fast-paced environment while maintaining quality and accuracy.
- Proficiency with Microsoft Office Suite, including Outlook, Excel, and Word.
- Ability to work independently with minimal supervision while taking ownership of assigned responsibilities.
- Ability to collaborate effectively within a team environment and support colleagues as needed.
Additional Skills & Qualifications
- Experience working with customer portals, databases, or CRM systems preferred.
- Background in insurance operations or similar customer-focused industries is beneficial.
- Comfort working with different phone systems, including automatic dialers and standard phone systems.
- Demonstrated ability to adapt to changing priorities and support multiple teams.
- Interest in contributing to a growing organization with opportunities for long-term development.
Work Environment
This role is based in an office environment with a cubicle-style layout located in a central pit area. The workspace is newly renovated and updated, providing a modern and comfortable setting. The position involves working on computers, using Microsoft Office applications, and handling multiple phone systems, including an automatic dialer and a non-automatic phone system. The Coordinator works standard office hours in a professional setting, collaborating closely with team members while also having dedicated individual workspace. Attire is typical professional office wear appropriate for a corporate environment.
Job Type & Location
This is a Contract to Hire position based out of Richfield, OH.
Pay and Benefits
The pay range for this position is $20.00 - $25.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors. Eligibility requirements apply to some benefits and may depend on your job
classification and length of employment. Benefits are subject to change and may be
