Warranty Administrator

Schedule:

This position works Monday - Saturday on a rotating 2-week schedule shared with our other Warranty Administrator:

- Week 1 (Saturday Week): Monday, Tuesday, Thursday & Friday 7:00 AM - 4:00 PM; Saturday 7:00 AM - 5:00 PM; off Wednesday
- Week 2 (Midweek Week): Monday, Tuesday, Wednesday & Friday 10:00 AM - 7:00 PM; Thursday 7:00 AM - 7:00 PM (covering for the other Warranty Administrator); off Saturday

Schedule repeats every two weeks. Hours will not exceed 40 per week - team members may be released early on any shift if needed to stay within the 40-hour limit.

Responsibilities

- Prepare, submit, and track manufacturer and extended warranty claims through the appropriate portals, ensuring accuracy and timely submission
- Review repair orders, technician notes, and parts records to confirm warranty paperwork is complete and meets manufacturer requirements
- Monitor claim status, research rejected or debited claims, and resubmit or appeal as needed
- Reconcile warranty receivables with the accounting office and ensure claims are paid and closed out in a timely manner
- Partner daily with Service Advisors and Technicians to gather the information needed to process claims correctly the first time
- Maintain organized warranty logs, claim files, and reporting for audits and manufacturer reviews
- Assist with other Service department administrative tasks as needed, including covering for the other Warranty Administrator during scheduled days off

- $18.00 - $20.00 per hour

Requirements

Qualifications

- Previous experience with warranty administration or dealership claims processing preferred, but not required - we're happy to train the right candidate
- Strong attention to detail and comfort working with paperwork, documentation, and deadlines
- Experience with dealership management software (such as CDK or Reynolds & Reynolds) is a plus
- Good communication skills and the ability to work well with Service Advisors, Technicians, and accounting staff
- Ability to stay organized and keep multiple claims moving in a fast-paced service department
- High school diploma or equivalent required
