Job Title: Assistant Property Manager Job Description The Assistant Property Manager will provide hands-on support for the day-to-day administration and operation of a commercial real estate portfolio in Chicago. This role focuses on property accounting, tenant communication, and general property operations across approximately 5–7 commercial properties. The position is in-office, with full-time availability preferred, though there is flexibility for a reduced or adjusted schedule for the right candidate. The role suits someone who enjoys working independently, can step into an existing operation with minimal training, and thrives in an entrepreneurial, low-bureaucracy environment. Responsibilities

- Assist with accounts payable activities, including reviewing invoices, coding expenses, securing approvals, and following up with vendors as needed.
- Monitor accounts receivable and support rent collection efforts, including tracking payments and following up on outstanding tenant balances.
- Assist with tenant billing, rent statements, and other property-related accounting tasks to ensure accurate and timely financial records.
- Respond promptly and professionally to tenant questions and service requests, coordinating appropriate follow-up and resolution.
- Prepare tenant notices, letters, and other property correspondence in a clear and timely manner.
- Coordinate with vendors and building staff regarding service requests, repairs, maintenance, and ongoing property needs.
- Maintain organized property files, including contracts, tenant records, certificates of insurance, and vendor documentation.
- Assist with tenant move-ins and move-outs, including documentation, coordination, and related administrative processes.
- Support property reporting, reconciliations, and other accounting or operational projects as needed.
- Provide general administrative and operational support to the Property Manager to ensure smooth day-to-day property operations.
- Help manage a portfolio of approximately 5–7 commercial properties, ensuring consistent service and operational standards.
- Use Yardi and other software tools to support property management, accounting, and reporting activities.
- Effectively prioritize and manage multiple tasks and deadlines in a fast-paced, hands-on environment.
- Work largely independently, taking ownership of assigned responsibilities and delivering results with minimal supervision.

Essential Skills

- At least 2 years of commercial real estate or property management experience preferred.
- Working knowledge of accounts payable, accounts receivable, and rent collection processes.
- Demonstrated experience supporting property accounting and administrative functions.
- Strong organizational skills and meticulous attention to detail.
- Ability to manage multiple priorities, follow through on assignments, and meet deadlines.
- Strong written and verbal communication skills for tenant and vendor interaction.
- Proficiency with Microsoft Outlook, Excel, and Word.
- Experience with Yardi or similar property management or accounting software is preferred.
- Ability to work independently and step into an existing operation with minimal oversight.
- Ability to work in-office in Chicago, with full-time availability preferred.

- Customer service and tenant-facing communication in a professional setting.
- Familiarity with data entry and maintaining accurate, organized records and documentation.
- Comfort supporting a portfolio of approximately 5–7 properties and collaborating with building staff and vendors.
- Ability to adapt to an entrepreneurial environment with limited formal structure and processes.
- Capacity to build strong working relationships within a small, tight-knit team.
- Flexibility to work a reduced or adjusted schedule, where appropriate and agreed upon.
- A proactive, ownership-driven mindset with a focus on getting work done without heavy supervision.

Work Environment This is an in-office role based in a quiet, spacious office in downtown Chicago, in a building fully owned and managed by the organization. The property management group operates out of a smaller, dedicated section within the building, creating a close, community-oriented atmosphere. The immediate team consists of four people, including a leader, an operations professional, and an operations assistant, forming a tight-knit group that collaborates closely on day-to-day operations. The culture is light-hearted, personable, and non-bureaucratic, emphasizing independence, trust, and ownership rather than rigid corporate structures. The position primarily supports a commercial real estate portfolio of approximately 5–7 properties and uses tools such as Yardi and Microsoft Office (Outlook, Excel, Word) to manage property operations, accounting, and communication. Full-time in-office work is preferred, but there is flexibility on hours for the right candidate.

This is a Contract position based out of Chicago, IL.
Pay and Benefits
The pay range for this position is $31.00 - $36.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
