Job Description

Admin Executive (NDT Services)

Job Summary
We are looking for a proactive  Admin Executive  to anchor our office and field operations. You will be the central point for managing technician safety gear, urgent travel logistics, and day-to-day office facilities. The ideal candidate is highly organized, capable of handling "Tatkal" (emergency) requirements, and maintaining meticulous records of company assets.

1. Safety & PPE Management

- Inventory Control:  Maintain a real-time stock register for all  Personal Protective Equipment (PPE) , including safety shoes, helmets, coveralls, and specialized NDT gear.
- Issuance & Tracking:  Systematically issue PPE to field staff and maintain signed acknowledgement records.
- Compliance:  Conduct periodic audits of safety gear to ensure all items meet safety standards and replace damaged or expired equipment immediately.

2. Travel & Field Logistics (Tatkal Support)

- Urgent Travel:  Handle high-priority "Tatkal" bookings for train and air tickets to meet sudden project mobilization needs.
- Accommodation:  Arrange hotel stays or guest house facilities for staff near industrial sites or offshore locations.
- Site Coordination:  Arrange local transport and logistics for field teams moving between sites.

3. Office Administration & Facilities

- Operations:  Oversee daily office functions to ensure a professional and smooth-running environment.
- Cleanliness:  Supervise housekeeping staff to maintain the highest standards of office hygiene and organization.
- Supplies Management:  Monitor and restock office stationery, pantry items, and housekeeping materials.
- Vendor & Utility Management:  Coordinate with service providers for internet, electricity, plumbing, and printer maintenance.

4. Asset & Inventory Management

- Asset Register:  Maintain an updated master list of all company assets, including laptops, furniture, and NDT equipment.
- Issue & Collection:  Track the movement of assets assigned to employees; document and report any damaged or missing items.
- Onboarding:  Arrange "Joining Kits," including ID cards, workstations, and welcome setups for new hires.

5. Documentation & Courier Management

- Courier Operations:  Handle the dispatch and tracking of bills, invoices, legal documents, and physical assets/parcels.
- Record Keeping:  Ensure all administrative filing—both digital and physical—is up to date for audit readiness.

Candidate Requirements

- Experience:  1–3 years in Admin/Operations, ideally in an industrial or NDT-related field.
- Skills:  Strong mastery of  MS Excel  for inventory and asset tracking.
- Attributes:  Ability to work under pressure (especially for urgent travel bookings) and extreme attention to detail for safety records.

Qualifications

- Graduate from any stream
- 1-3 years of experience in handing Administration activities.
- Ready to work from office.
- Extend the working as per business requirement.
- Ability to work independently, multi-tasking abilities.
- Knowledge of MS office (especially Excel & Power Point)
- Good communication & analytical skills.
