Job Title: Order Support Customer Service Representative Job Description
This contract role provides front-line customer service and order support in a fast-paced, team-based environment. You will handle a high volume of inbound calls and emails, perform basic order entry, and support a major digital transformation, including the migration from Microsoft AX to D365. The position offers structured training, dedicated mentorship, and the opportunity to gain hands-on experience with enterprise systems while contributing to a critical system go-live.
Responsibilities
- Answer a high volume of inbound phone calls, typically around one minute each, and route customers to the appropriate internal resources.
- Serve as the first point of contact for customer inquiries, ensuring professional, friendly, and timely call handling.
- Provide approximately 80% phone and email support to customers and internal teams.
- Perform basic and minor order entry tasks during periods of lower call volume.
- Handle approximately 20% basic order entry and administrative support for customer orders.
- Enter and update customer orders accurately in Microsoft AX, Microsoft 365, and related systems.
- Compile, create, and modify reports using database software and Microsoft Office applications.
- Administer various programs, projects, and processes according to department requirements, acting as a resource for the department.
- Maintain accuracy and attention to detail while working across multiple systems and tools.
- Support the Order Support team during the Microsoft AX to D365 migration and related system transitions.
- Follow established processes while adapting to new tools and workflows introduced through the digital transformation.
- Escalate issues appropriately to Order Support level 2 or leadership when needed.
- Maintain confidentiality of sensitive information and materials at all times.
- Achieve and maintain established quality, productivity, and service standards.
- Communicate clearly and professionally in both written and verbal interactions with customers and internal stakeholders.
Essential Skills
- At least 1 year of experience using Microsoft applications in an office or administrative setting.
- At least 1 year of customer service or administrative experience with a confident and professional phone presence.
- Proficiency with office routines and general clerical procedures.
- Demonstrated keyboarding accuracy and efficiency, with the ability to proofread and correct errors effectively.
- Basic data entry skills with a high level of accuracy.
- General math skills and the ability to create electronic spreadsheets and database reports.
- Experience using Microsoft Office, including Outlook and other core applications.
- Strong customer service orientation and ability to handle a high volume of calls and emails.
- Ability to understand and maintain confidentiality of information and materials.
- Good written and verbal communication skills, using clear and effective communication methods.
- Comfort working in an in-office, team-based environment.
- Ability to learn new systems, processes, and tools quickly.
- Strong attention to detail and organizational skills.
Additional Skills & Qualifications
- Experience supporting order management or customer service teams.
- Exposure to ERP, CRM, or order management systems.
- Experience working during system implementations, transitions, or digital transformation initiatives.
- Familiarity with Microsoft Dynamics, OrderNet, or similar platforms (preferred but not required).
- Experience in front desk, receptionist, secretarial, or general administrative assistance roles.
- Ability to compile and modify reports using database tools and Microsoft Office.
- Demonstrated ability to work effectively with leadership and cross-functional teams.
- Interest in developing transferable skills in customer service, order processing, and enterprise systems.
Work Environment
This is an in-office, team-based role in a collaborative and supportive environment. Standard hours are approximately 8:30 a.m. to 5:00 p.m., with potential case-by-case flexibility. You will work closely with customers, internal teams, and leadership in a fast-paced setting, especially leading up to and following a major system go-live. The position is a 6–12 month contract with the potential to extend for strong performers. The role is co-supported by the Order Support leadership team and paired with a dedicated mentor to provide structured training, hands-on support, and a smooth onboarding experience. You will use Microsoft AX, Microsoft 365, Microsoft Office (including Outlook), and other enterprise tools as part of daily work, gaining direct exposure to a large-scale digital transformation and evolving order support processes.

This is a Contract position based out of Newberg, OR.
Pay and Benefits
The pay range for this position is $24.00 - $24.60/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
