Job Title: Dispatch Coordinator Job Description We are seeking a highly organized and detail-oriented Dispatch Coordinator to support daily trailer and yard operations across a large manufacturing and warehouse campus. This newly created role is part of a broader program to improve communication, efficiency, and coordination between production facilities, warehouse operations, and yard drivers. As the central point of communication for trailer movement requests, you will coordinate directly with yard drivers, warehouse personnel, and third-party fleet maintenance providers, using radio communications, Microsoft Excel, and operational tracking systems to ensure timely trailer movements, accurate recordkeeping, and effective management of trailer-related issues. This position offers a unique opportunity to help shape new operational processes while playing a critical role in maintaining the flow of materials and transportation activities across the campus. Responsibilities

- Serve as the primary point of contact for trailer movement and yard transportation activities across the campus.
- Receive, prioritize, and dispatch trailer move requests to yard drivers using radio communications.
- Coordinate trailer movements between manufacturing facilities, warehouse locations, docks, staging areas, and storage lots to support production and distribution needs.
- Monitor active trailer movement requests and ensure timely completion of all assigned moves.
- Support daily logistics operations by maintaining continuous communication with drivers and operational stakeholders.
- Work closely with driver leadership and supervisors to address changing business needs and operational priorities.
- Assist with shift handoff communication by preparing and distributing daily operational notes and updates.
- Track trailer activity, movements, and completion status using Microsoft Excel and other operational tools.
- Maintain accurate records of damaged trailers, maintenance requests, and trailer audits.
- Conduct and support trailer inspections to identify equipment concerns and operational issues.
- Coordinate repairs and preventive maintenance activities with third-party fleet maintenance providers.
- Review repair estimates and communicate findings to operational leadership for approval and follow-up.
- Monitor trailer pools to ensure equipment availability aligns with production and distribution requirements.
- Partner with warehouse, shipping, receiving, transportation, and production teams to facilitate efficient trailer flow.
- Provide timely updates regarding delays, equipment concerns, maintenance needs, and operational risks.
- Collaborate with supervisors and driver leadership to improve communication processes and overall operational efficiency.
- Support campus-wide logistics coordination while helping reduce unnecessary radio traffic for drivers through dedicated dispatch communication channels.
- Build strong working relationships with internal departments and external service providers to support seamless logistics operations.
- Maintain accurate records of radio calls, trailer moves, maintenance requests, and operational exceptions.
- Prepare daily reports, audit documentation, and shift summaries to support operational visibility and decision-making.
- Track performance metrics and operational data to support continuous process improvements.
- Ensure all operational records and documentation are maintained with a high degree of accuracy and attention to detail.
- Support safe yard operations by identifying and reporting equipment concerns in a timely manner.
- Assist with trailer audits and equipment compliance activities to support safety and regulatory adherence.
- Follow established transportation, safety, and operational procedures at all times.
- Communicate safety-related concerns to appropriate leadership to promote a safe and efficient work environment.

Essential Skills

- Previous experience in dispatching, logistics coordination, transportation operations, warehouse administration, or closely related fields.
- Strong organizational skills with the ability to manage multiple tasks and priorities in a fast-paced environment.
- Experience communicating effectively with multiple stakeholders while managing competing operational priorities.
- Proficiency with Microsoft Excel, including data entry and tracking, and familiarity with other Microsoft Office applications.
- Excellent verbal and written communication skills for clear, concise, and professional interactions.
- High level of accuracy, attention to detail, and follow-through in documentation and task completion.
- Ability to make sound decisions and adapt quickly to changing operational demands.
- Strong teamwork and collaboration skills, with the ability to work closely with drivers, supervisors, and cross-functional teams.

Additional Skills & Qualifications

- Experience working within manufacturing, distribution, warehouse, transportation, or third-party logistics (3PL) environments.
- Knowledge of trailer operations, freight flow, dock scheduling, or yard management processes.
- Experience coordinating truck, trailer, or fleet activities in a logistics or transportation setting.
- Familiarity with fleet maintenance processes and preventive maintenance scheduling.
- Understanding of transportation and yard safety practices and procedures.
- Experience in roles such as transportation coordinator, warehouse administrator, shipping and receiving coordinator, fleet coordinator, freight broker, or logistics coordinator is beneficial.

Work Environment This role is based onsite at a large manufacturing and warehouse campus. The schedule is Monday through Friday, from 5:30 AM to 2:30 PM, supporting daytime operations and shift handoffs. You will work closely with yard drivers, warehouse teams, production staff, and third-party fleet maintenance providers in an active logistics environment that includes trailer yards, docks, staging areas, and storage lots. Daily work involves extensive use of radio communications, Microsoft Excel, and other operational tracking tools to manage trailer movements and documentation. The environment is fast-paced and operationally focused, with established transportation, safety, and yard procedures guiding daily activities. Collaboration, clear communication, and adherence to safety practices are central to success in this setting.
Job Type & Location
This is a Contract to Hire position based out of Fond Du Lac, WI.
Pay and Benefits
The pay range for this position is $30.00 - $31.25/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
