About this role

Hackettstown Animal Hospital is seeking a dedicated and enthusiastic individual to join our team as a Part-Time Receptionist. As the first point of contact for our clients, the receptionist plays a crucial role in providing exceptional customer service and ensuring smooth operations at our veterinary practice. This position requires excellent communication and organizational skills, as well as the ability to handle a variety of tasks simultaneously.

Hours: 15-20 hours per week, including Saturdays

Requirements

1. Greeting Clients and Visitors:

- Warmly welcome clients and visitors in a friendly and professional manner.
- Direct clients to the appropriate areas within the hospital.
- Answer general inquiries, provide information about hospital services, and schedule appointments.

2. Appointment Scheduling and Management:

- Efficiently schedule and manage appointments using the hospital's computerized system.
- Coordinate veterinary appointments with multiple veterinarians and technicians.
- Arrange emergency appointments promptly and prioritize them accordingly.

3. Phone and Email Communication:

- Handle incoming calls professionally, directing callers to the appropriate departments or taking messages as necessary.
- Respond to general inquiries via email, providing accurate and helpful information to clients.
- Relay important messages to veterinary staff promptly and accurately.

4. Files and Records:

- Maintain and update client records with accuracy, confidentiality, and attention to detail.
- Organize and file documentation, ensuring swift retrieval for future reference.
- Assist clients in completing necessary forms and paperwork.

5. Cashiering and Financial Transactions:

- Handle cash transactions, issue receipts, and maintain accurate records of payments.
- Effectively and efficiently process credit card payments.

6. Administrative Support:

- Assist with hospital administrative tasks, including data entry, photocopying, and faxing.
- Provide general administrative support to veterinarians, technicians, and other team members.

Requirements:

· Previous experience in veterinary customer service roles preferred.

· Excellent communication and interpersonal skills.

· Strong organizational and multitasking abilities.

· Proficient computer skills, including knowledge of MS Office Suite.

· Ability to learn and navigate basic veterinary software used for appointment scheduling and record-keeping.

· Friendly, positive attitude with a passion for providing exceptional customer service.

· Must be available to work 15-20 hours per week, including Saturdays.

· Ability to work in a fast-paced environment while maintaining attention to detail.
