The Supervisor, Center Administration is responsible for general office management responsibilities, such as: hire, train and monitor administrative needs. The goal of the Supervisor is to help maximize efficiency within an organization, increase the organization’s productivity, increase profits while reducing costs, and ensure the production and delivery of high-quality service that suit patients’ needs. The Supervisor ensures that every single day-to-day operation in an organization supports and helps to achieve that organization’s unique goals.

​Role Responsibilities:

- Accountable for operations by analyzing and reviewing procedures and practices
- Optimizes work methods to improve operational effectiveness and efficiency
- Supervises Practice Support operations at a single location

Ensures appropriate staffing to maintain an uninterrupted patient experience
- Responsible for hiring and onboarding newly hired Practice Support staff
- Completes payroll for designated Practice Support staff
- Provides employee coaching as needed
- Completes annual performance evaluations for designated Practice Support staff

- Serves as Super-User for EHR and liaison for approved workflows supporting all Specialty Practice Support functions

Trains appropriate Practice Support staff on all practice support procedures
- Collaborates with various departments to support training, workflow implementation, and process improvement

- Establishes and implements goals and objectives within all Specialty Practice Support functions

Maintains knowledge of collections and insurance verification
- Ensures staff accountability for time-of-service collections
- Oversees data collection, including:

Patient Satisfaction Survey Reports

Conducts follow-up calls to patients
- Reports feedback to leadership

- Patient volume tracking to ensure proper coverage
- Reports on staff Radix usage

- Collaborates with billing to identify and resolve billing-related issues

- Monitors Practice Support functions, including but not limited to appointment scheduling

Maintains resources and schedule changes for the assigned Primary Care office
- Communicates schedule changes to all necessary departments to ensure consistency and accuracy
- Monitors provider schedules, patient appointments, and patient flow
- Meets with leadership to discuss schedule improvements that streamline the scheduling process for Practice Support staff
- Ensures Practice Support staff are trained on and following Pre-Visit workflow

- Monitors Practice Support staff processes for Check-In and Check-Out

Ensures effective communication with Centralized and Shared Services departments, including:

Centralized Telephone Operations
- Revenue Cycle, including Billing, Coding, Eligibility, and Benefits
- Medical Records
- Referrals and Ancillary Referrals
- Specialty Scheduling

- Serves as a resource for technology concerns, communication, and implementation of new processes

Demonstrates experience with basic computer and internet troubleshooting

- Handles patient interaction to support patient flow, address patient concerns, and assist with day-to-day operations to ensure patient satisfaction

Works with appropriate departments to resolve patient concerns, delays, and billing questions

- Communicates regularly with care center leadership to address concerns, answer questions, and review department performance

Ensures supervisors can assist one another when one is out, including:

Ensuring proper coverage when staff call out
- Providing support to staff when needed
- Ensuring the Practice Support department performs to organizational standards

- Maintains regular communication with the Care Center Manager to review procedures, practices, and operational concerns
- Provides clear and concise communication to ensure timely and effective flow of information between multiple locations
- Works closely with the Care Center Manager, Clinical Supervisor, and Medical Director
- Monitors completion of daily close to ensure accurate collection and filing
- Uses Lean process improvement principles to create an efficient working environment
- Analyzes systems and procedures and recommends changes that enhance quality of patient care and increase operational efficiency
- Performs other duties as assigned

Resets passwords, troubleshoots basic connectivity issues, or identifies the appropriate resource for resolution, such as submitting a Service Desk ticket
- Sets up Microsoft Teams connections in conference rooms or café areas
- Keeps other Practice Support Supervisors, Clinical Supervisors, and Care Center Managers informed of process changes within the Specialty Division
- Oversees deposits and reconciliation of cash bags regularly

- In collaboration with the Care Center Manager, manages patient panel reports to ensure accuracy of panel data and insurance PCP assignment

Required Qualifications

- 1+ years of management experience required

Preferred Qualifications

- 2+ years of experience in a healthcare organization
- Bachelor’s degree in Healthcare Administration
- Knowledge and understanding of Lean Process
- CMPE or FACMPE certification

- Proficiency in Microsoft Office applications, including Word and Excel

Pay Range
The compensation range below reflects a good faith estimate of starting base pay for full time (40 hours per week) employment at the time of posting. The pay range may be higher or lower based on geographic location and individual pay will vary based on demonstrated job related skills, knowledge, experience, education, certifications, etc.
$58,700 - $70,400 per year
This job is eligible for a bonus incentive plan. This incentive opportunity is based upon company and/or individual performance.
