About this role

Position Summary:   The Next Gen. Administrator provides administrative and operational support for Next Gen. Ministry, helping staff and ministry leaders stay organized, prepared, and effective. This role coordinates communication, scheduling, volunteer administration, event   logistics , purchasing, registrations, records, and ministry systems to support excellent execution across Kids, Students, Sports, and Young Adults.

Essential Duties & Responsibilities   include but are not limited to:

- Coordinate administrative systems and day-to-day operational needs for Next Gen. Ministry, including calendars, scheduling, workflows, documentation, and internal communication.

- Maintain volunteer records, background-check information, onboarding documentation, schedules, and ministry databases while   assisting   ministry leaders with volunteer coordination.

- Prepare and distribute communications to parents, students, families, and volunteers through email, newsletters, text messaging, registration platforms, and other approved communication channels.

- Provide administrative and logistical support for camps, retreats,   special events , and ministry programs, including registrations, transportation details, rooming lists, forms, supplies, schedules, and event documentation.

- Track ministry expenses, process receipts and purchase requests,   assist   with budget documentation, and help ministry leaders   maintain   accurate   financial records.

- Coordinate purchasing and ordering of supplies, materials, food, equipment, and other resources needed for Next Gen. programs, services, and events.

- Coordinate vendor, venue, transportation, and external partner communication as directed by Next Gen. ministry leaders.

- Maintain   accurate   attendance, registration, check-in, guest, and follow-up records and   assist   ministry leaders in ensuring information is entered and updated appropriately.

- Provide administrative support for weekly Next Gen. environments, including preparing materials, coordinating room needs, signage, check-in resources, volunteer information, and other logistical details.

- Maintain organized ministry files, forms, policies, calendars, contact lists, event records, and other administrative resources.

- Assist   with volunteer hospitality   logistics , including coordinating volunteer lounges, meals, supplies, name tags, and other practical needs.

- Serve as an administrative point of contact for routine questions from parents, volunteers, students, and staff, directing ministry-specific or pastoral needs to the   appropriate ministry   leader.

- Support Next Gen. staff with meeting preparation, agendas, notes, follow-up items, calendar coordination, and other administrative needs.

- Identify   opportunities to improve administrative efficiency, organization, communication, and ministry systems and recommend improvements to Next Gen. leadership.

- Perform other administrative and ministry-support duties as assigned by the Next Gen. Pastor.

Qualifications:

Knowledge & Skills:

- Self-motivated and detailed oriented.

Education & Experience:

- Preferably   an   associate’s degree (A.A.) or bachelor’s degree (B.A.) from a two-year or four-year college or university or an equivalent combination of education and experience.

- 3-5+ years of relevant leadership or ministry experience preferred.

- Demonstrated commitment to Christian faith and ability to lead others spiritually.

Physical Requirements:

- Ability to sit, stand, and walk for extended periods.

- Proficiency   in typing and using office equipment ( e.g.   printers, scanners, etc.)

- Capability to lift and carry items up to 25 pounds.

- Ability to work nights and   weekends , as needed.
