Job Title: Receptionist Job Description
The Receptionist provides high-level administrative and front desk support, serving as the first point of contact for visitors and callers. This role manages information requests, performs a wide range of clerical and administrative tasks, and ensures a polished, white-glove concierge experience at the front desk.
Responsibilities
- Greet and warmly welcome visitors, ensuring they are directed promptly and professionally to the appropriate person or area.
- Provide information to visitors and staff, and answer incoming calls using a telephone system or console switchboard.
- Receive, log, and send packages via couriers, ensuring accurate handling and timely distribution.
- Maintain a detailed visitor log and call record, and issue security passes or badges in accordance with established procedures.
- Perform typing, filing, data entry, and other routine clerical functions to support daily operations.
- Manage the boardroom schedule, including booking meetings and ensuring equipment is available and functioning properly.
- Provide administrative support such as photocopying, binding documents or books, and preparing mailers and other materials.
- Deliver a white-glove, concierge-level front desk experience for executives, guests, and internal stakeholders.
- Support executive-level administrative needs, including handling information requests and coordinating basic administrative tasks.
- Maintain organized records and files while protecting the confidentiality of sensitive information.

- Strong verbal and written communication skills to interact effectively with visitors, callers, and internal staff.
- Demonstrated multi-tasking ability to manage calls, visitors, and administrative tasks simultaneously.
- Customer service skills with a focus on providing a polished, white-glove concierge experience at the front desk.
- Interpersonal skills to build positive relationships and represent the organization in a professional manner.
- Ability to work independently, prioritize tasks, and manage time effectively in a busy reception environment.
- Ability to keep information organized and maintain confidentiality of sensitive records and conversations.
- Previous experience using computer applications such as Microsoft Word, Excel, and PowerPoint.
- High school diploma or equivalent.
- 0–2 years of experience in a receptionist, front desk, or administrative support role.

- Experience in white-glove service at the front desk, providing a high-touch, concierge-style experience.
- Front desk and customer-facing experience in a professional office environment.
- Executive-level administrative support experience, including handling information requests and basic executive support tasks.
- Data entry experience with attention to detail and accuracy.
- Strong administrative support background, including filing, photocopying, document binding, and preparing mailers.
Work Environment
This role is based on-site at a professional office front desk environment, where the Receptionist serves as the first point of contact for visitors and callers. This is a Contract position based out of Santa Clara, CA.
Pay and Benefits
The pay range for this position is $27.00 - $27.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
