The High Value Investor Support Specialist is responsible for providing critical administrative, operational, and coordination support to the High Value & Professional Investors team. By managing proposals, data, and processes, this role enables Relationship Managers to focus on cultivating relationships and driving investment growth. The role ensures smooth sales operations, accurate data management, and insightful reporting in an international, multilingual context. Through an organized, inclusive, and audience-centric approach, it helps tailor materials and workflows to meet the needs of high-value investors, contributing to an exceptional investor experience and the overall success of the team.
Main responsibilities
Administrative & Operational Support:
- Proposal & document preparation: Create and format high-quality proposals, presentations, and investment documents for high-value clients, ensuring materials are professional, on-brand, and tailored to the audience’s language and cultural context.
- CRM data management: Maintain and update investor and lead information in the CRM system with 100% accuracy and completeness, including contact details, meeting notes, and required compliance data, to support effective communication and compliance.
- Documentation, approvals & compliance: Manage the workflow of contracts and paperwork, coordinating internal approvals and signatures promptly. Work closely with compliance and legal teams to ensure all investor documentation (e.g., KYC, agreements) meets regulatory requirements and is properly filed.
- Information follow-up: Proactively track and obtain missing information or documentation from investors or internal stakeholders. Ensure that all necessary data (financial reports, client forms, etc.) are collected and stored securely, maintaining confidentiality and data protection standards.
Sales Process Coordination:
- Lead & opportunity tracking: Oversee the tracking of leads and opportunities in the CRM, ensuring every prospective high-value investor inquiry or referral is logged and followed up in a timely manner. Maintain an organized pipeline so that no opportunity is overlooked and all leads move efficiently through the sales process. Investigates investors background to support the team to create a good proposal
- Scheduling & calendar management: Coordinate and schedule investor meetings, calls, and events for the High Value Account Managers and the Head of High Value & Professional Investors. Optimize the team’s calendars across multiple time zones to facilitate prompt follow-ups and meaningful interactions with high-value and professional investors.
- Pipeline monitoring: Continuously monitor the sales pipeline and pipeline health, flagging any bottlenecks or priority opportunities to the team. Ensure the pipeline status is up-to-date and collaborate with the Data & Insights team to generate pipeline and performance reports that inform strategic decisions.
- Sales process support: Serve as the point person for the end-to-end sales process administration – from initial lead assignment and due diligence checks, to preparing investment proposals and coordinating the finalization of deals. Identify and mitigate operational hurdles that could slow down the sales cycle, ensuring a smooth and efficient process for both internal teams and investors.
Reporting & Insights:
- Dashboard preparation: Assist the Head of High Value & Professional Investors in preparing weekly and monthly performance dashboards. Gather data from CRM and other sources to compile reports on key sales metrics (e.g., conversion rates, pipeline status, investor engagement levels) and ensure these dashboards provide clear, actionable insights for decision-making.
- KPI monitoring: Regularly track and report on critical Key Performance Indicators (KPIs) such as lead conversion percentage, pipeline growth, high-value investor activity. Highlight trends, risks, and opportunities in these metrics to the team to drive continuous improvement in strategy and execution.
- Forecast support: Collaborate in the forecasting of high-value investment inflows by providing accurate data analysis and projections. Ensure that forecasts for investor commitments and pipeline progression are well-supported with current data, enabling the team to plan and allocate resources effectively.
- Data-driven insights: Leverage the CRM and analytics tools to extract insights on investor behavior and market trends. Present findings to the team to help refine targeting, engagement tactics, and process improvements. For example, analyze patterns in lapsed leads or common reasons for delays in documentation to recommend process enhancements.
Enablement of the Sales Team:
- Resource management: Maintain and continuously update the team’s marketing / sales materials – including templates, presentation decks, proposal documents, FAQs, and client outreach tools – ensuring all materials are up-to-date, culturally appropriate, and aligned with the latest marketing messaging and brand guidelines.
- Training & onboarding support: Help onboard new High Value team members by providing training on CRM usage, sales processes, and available tools. Create quick-reference guides or checklists for common processes (e.g., how to input a new lead, how to prepare compliance documents) to improve team efficiency and consistency.
- Event & campaign assistance: Play an active role in planning and executing investor events and marketing campaigns targeting high-value accounts. In coordination with the Events Manager, support with logistics (invites, scheduling, materials preparation) for events such as webinars, VIP investor roundtables, or international roadshows. Assist in drafting marketing briefings and ensuring the High Value team has the content and collateral needed for successful outreach.
- Continuous improvement: Identify and implement process improvements in sales support operations. For instance, suggest enhancements to CRM workflows, new tools or automation for routine tasks, or better knowledge-sharing practices within the team. Aim to simplify processes and reduce administrative burden on account managers, enabling them to spend more time with investors.
Cross-Functional & Stakeholder Collaboration:
- Marketing & communications: Work closely with Marketing, Communications & Advocacy teams (e.g., the Studio Lead and content designers) to ensure high-value investor presentations, proposals, and communications are audience-first – tailored to the target segment’s language and interests. Coordinate on creating and localizing materials, such as investor pitch decks and reports, that resonate with international audiences and maintain a consistent brand voice.
- Investor Support & Operations: Liaise with the Investor Support team to ensure seamless service for high-value investors, especially regarding account setup, transaction processing, and issue resolution. Proactively check that all client data is complete and compliant with KYC and due diligence standards, working with compliance and operations teams to swiftly address any gaps or issues.
- Data & Insights: Coordinate with the Data & Insights team to align on data requirements and report generation. Ensure that the High Value team’s needs for specific analyses or dashboards are met, enabling data-driven strategy adjustments.
- Internal stakeholder coordination: Act as a connective hub for the High Value team, facilitating communication with other departments such as Finance (for investment processing, reporting needs), IT (for CRM enhancements or troubleshooting), and the Retail investor team to share best practices and align on processes. This ensures consistent investor experience and that high-value initiatives complement broader investor engagement efforts.
Education, skills and experience
- Bachelor’s degree in Business Administration, Finance, Marketing, or a related field.
- 3–5 years of experience in a sales support, sales operations, administrative, or client service role (preferably in financial services, investments, or a similarly regulated industry).
- Demonstrated proficiency in using CRM systems and data management tools for tracking sales leads, client information, and generating reports. Advanced skills in MS Office (Excel, PowerPoint, Word) required; experience with analytics or data visualization tools is a plus.
- Strong organizational and multitasking abilities with a track record of managing schedules, documentation workflows, and multiple priorities with attention to detail and accuracy.
- Excellent communication skills in English (written and verbal). Additional language proficiency (e.g., German, French, Spanish, Dutch, etc.) is highly advantageous for supporting an international team and engaging with investors in their preferred language.
- Basic understanding of financial/investment concepts and familiarity with compliance processes (e.g., KYC, due diligence) to effectively handle investor documentation and coordinate with compliance teams.
- Proven ability to work collaboratively in a cross-functional or multicultural team environment. Experience liaising with marketing, sales, or customer service departments to achieve shared goals is beneficial.

The role is ideally 36 hours, though a 32-hour contract is also an option.
