About this role

As a Project Dedicated Project Support Specialist (PD-PSS) at Shook Construction, you will provide on-site administrative support to a dedicated project team throughout the construction lifecycle, from startup through closeout. Working closely with Project Managers, Project Engineers, Superintendents, and field personnel, you will help keep the project organized and compliant by managing documentation, coordinating workflows, supporting project controls, tracking compliance, and facilitating team communication.

What Youll Do

Operational Excellence

- Support project startup, execution, and closeout activities to help ensure project success.

- Coordinate contract administration, compliance tracking, and project documentation in accordance with company procedures.

- Maintain organized project records and document control systems throughout the project lifecycle.

- Facilitate project compliance requirements, including certified payroll, lien waivers, notices, and closeout documentation.

- Support field onboarding, payroll entry, meeting coordination, and day-to-day project administrative needs.

- Assist project teams by providing timely reporting, communication, and administrative support.

Documentation & Project Controls

- Submit, track, and maintain permits and project documentation as requested.

- Provide clerical support for submittals, RFIs, issue logs, and project controls after appropriate technical review by the project team.

- Generate routine project reports and maintain accurate project records.

- Assist with documentation supporting pay applications, certified payroll, stored material logs, sales tax records, and other project administrative requirements.

- Support quality document control practices and ensure consistency across project files.

Meeting & Team Support

- Schedule meetings, coordinate logistics, and communicate information on behalf of project leadership as requested.

- Attend project meetings in an administrative capacity and distribute meeting minutes.

- Coordinate food service, event logistics, and project team gatherings.

- Support onboarding activities for field personnel and ensure completion of required employment documentation.

- Enter and maintain weekly field payroll information as directed by project supervision.

- Assist project teams by prioritizing workflow, managing resources, and helping ensure deadlines are met

What Youll Bring

- High School Diploma required; Associate Degree in Business Administration, Construction Management, or related field preferred.

- Two or more years of construction, administrative, or project support experience preferred.

- Strong organizational, documentation, and time management skills.

- Excellent communication and interpersonal skills.

- Ability to prioritize multiple tasks and work effectively in a fast-paced environment.

- Detail-oriented with strong analytical and problem-solving abilities.

- Commitment to maintaining confidentiality, professionalism, and ethical standards.

- Passion for learning new technologies and improving project processes.

Computer Skills

- Proficiency in Microsoft Office Suite and Outlook required.

- Experience with Autodesk Construction Cloud, Bluebeam, DocuSign, Vista, and project management platforms preferred.

- Ability to learn project-specific software systems as required.

Certificates, Licenses, and Registrations

- Valid driver's license required.

- Notary Public certification required within 30 days of hire or assignment.

- Construction-related certifications and training are highly desirable.
