Director of Transportation and Fleet

The Association for Individual Development (AID) is a non-profit organization whose mission is to empower people with physical, developmental, intellectual, mental health challenges; those who have suffered a trauma; and those at risk, to enjoy lives of dignity and purpose.  We are looking for a  Director of Transportation and Fleet with dual location requirement for Aurora and Elgin, IL who demonstrates this mission and wants to work for an organization that makes a difference in the community.

Schedule: Typically Monday-Friday, 9AM - 5PM with occasional flexibility needed to cover after hours and/or weekend emergencies

What you will be doing?

The Director of Transportation and Fleet provides organization-wide leadership, planning and oversight of AID's transportation and fleet operations. The Director is responsible for developing and implementing a comprehensive fleet and transportation strategy that supports program operations, client transportation needs, safety, regulatory compliance, cost effectiveness and long-term vehicle replacement planning.

The Director oversees the lifecycle management of AID vehicles and fleet-related assets, including acquisition, leasing, assignment, utilization, preventative maintenance, repair, replacement and disposition. The position serves as AID's primary liaison with Enterprise Fleet Management and other transportation vendors and uses fleet data, technology and operational information to identify opportunities for improved efficiency, safety and service.

Working collaboratively with program leadership, Finance, Risk Management, Resource Development and Asset Management, the Director evaluates transportation needs across the organization and develops recommendations regarding vehicle deployment, fleet size, replacement schedules, operating costs and transportation practices.

Essential Job Responsibilities:

- Conduct monthly vehicle inspections of assigned AID vehicles, and complete inspection forms to identify safety and mechanical needs.

- Update vehicle service records monthly and determine service needs.

- Respond in a timely manner to reports of vehicle service needs.

- Coordinate and schedule vehicle service and repairs with service providers and AID programs.

- Verify work performed by vendors and approve payment of invoices up to approval limit.

- Operate a variety of types of vehicles.

- Transport vehicles between AID locations and service providers.

- Develop and maintain an organization-wide transportation and fleet plan based on program needs, vehicle utilization, service requirements, geography and anticipated organizational growth.

- Monitor and track vehicle incidents and accidents in coordination with the AID Safety Committee, audits, and insurance needs.

- Respond to after-hours and weekend vehicle emergencies.

- Use Microsoft Word, Excel, Outlook, Fleet Maintenance, and Track-It computer programs to perform work duties.

Qualifications

Education: Bachelors degree in business administration, transportation, logistics, fleet management, operations, public administration or related field preferred. Equivalent combination of education and progressively responsible relevant experience may be considered.

License / certifications: Illinois drivers license; other certifications from internal and external resources, as required from time to time.

Experience: Progressively responsible experience in fleet management, transportation operations, logistics, vehicle lifecycle management or a related operational field required. Experience with fleet planning, vendor management, vehicle acquisition or leasing, preventative maintenance programs, budgeting, data analysis and computerized fleet management systems strongly preferred. Experience with Enterprise Fleet Management or comparable fleet management platforms preferred. Working knowledge of automobile systems and vehicle maintenance practices required; professional mechanical experience is not required.

Physical: Ability to operate various vehicle types, inspect vehicles in field settings, operate wheelchair lifts, travel between AID locations and vendor sites, and frequently transport vehicles for various purposes. Ability to perform the physical activities necessary to inspect fleet vehicles and transportation equipment.

Equipment: Computers; Microsoft Office applications; fleet management platforms; Enterprise Fleet Management systems; maintenance tracking systems; telematics/GPS systems; fuel-card systems; reporting and data-analysis tools; mobile devices; vehicles and wheelchair lift equipment, and other equipment employed from time to time.

Additional Requirements: Flexibility to work adjustable hours including evenings / weekends, attend in-service trainings, attend industry trade shows / exhibits, use personal auto when necessary, valid Illinois driver's license and good driving record as defined by AID driver eligibility requirements, and maintain minimum amount of automobile liability insurance as defined by AID personnel policies. Flexibility is required for transportation emergencies, including occasional weekends and evenings.
