About this role

We are seeking an organized, detail-oriented Office Administration & Costing Coordinator to support our daily job costing and administrative operations. If you enjoy structured processes, have a strong eye for detail, and thrive in a team-oriented environment, we'd love to hear from you.

Key responsibilities:

- Manage daily and weekly job costing records, invoice verification, and administrative tasks.

- Coordinate communication between field crews, project managers, and accounting teams.

- Provide exceptional customer service by answering phone calls and emails professionally.

- Ensure payroll, billing, and reporting deadlines are met accurately and on time.

- Identify and resolve cost discrepancies and administrative issues proactively.

- Assist other departments as needed to support overall business operations.

Qualifications:

- Strong attention to detail and accuracy, especially with numbers and data entry.

- Ability to work independently while collaborating effectively with a team.

- Excellent verbal and written communication skills.

- Customer-focused mindset with a professional and friendly approach.

- Comfortable performing recurring administrative and costing tasks while maintaining high accuracy.

- Flexible and willing to adjust schedules occasionally to support payroll or month-end deadlines.

- Previous administrative, accounting, bookkeeping, costing, or office support experience is preferred.

Physical Demand:

This position primarily works in a professional office environment and requires the ability to perform sedentary to light-duty work. The employee must be able to sit for extended periods while using a computer, telephone, and other standard office equipment. Frequent use of hands and fingers for typing, data entry, and handling paperwork is required. The position may occasionally require standing, walking, bending, reaching, and lifting or carrying office materials weighing up to 15 pounds. Employees must be able to communicate effectively in person, over the phone, and through electronic communication.
