Job Summary:
The Communication & Marketing Quality Assurance Specialist serves as an independent quality control resource across all Government Services portfolios. This role is responsible for reviewing marketing, communications, digital, and creative deliverables before distribution or publication to ensure accuracy, consistency, compliance, accessibility, and adherence to established processes and brand standards. The Communication & Marketing Quality Assurance Specialist works across Program Communications, Creative & Digital, and Web to identify errors, confirm required approvals, and reduce risk before communications reach external audiences. This position is especially critical for high-volume or high-visibility communications, including mass emails, stakeholder communications, social media, websites, reports, presentations, and other public-facing materials.
Job Duties:
- Conducts independent QA reviews of marketing and communications deliverables across all portfolios
- Reviews materials for spelling, grammar, formatting, consistency, accuracy, and adherence to established standards
- Verifies dates, names, titles, contact information, links, attachments, and other critical details
- Confirms that required approvals have been obtained before distribution or publication
- Reviews deliverables against applicable brand, accessibility, compliance, and program requirements
- Identifies errors, inconsistencies, missing information, or potential risks and communicates corrections to the appropriate team member
- Serves as the independent QA checkpoint for mass emails and high-volume communications
- Verifies recipient lists, audience segmentation, exclusions, and other distribution settings before deployment
- Confirms email content, subject lines, links, attachments, graphics, formatting, and calls to action
- Conducts or coordinates test sends as appropriate
- Confirms that required program and management approvals are documented
- Conducts post-send checks to confirm successful delivery and identify any immediate issues
- Reviews social media and digital content for accuracy, formatting, links, accessibility, and alignment with approved messaging
- Reviews graphics, presentations, flyers, reports, signage, event materials, and other creative deliverables before final release
- Verifies that final files reflect approved revisions and specifications
- Reviews materials for basic accessibility and usability considerations
- Works closely with Program Communications & Marketing Specialists, Graphic Design, Digital Marketing, Web, and program teams
- Provides clear, constructive feedback while maintaining independence from the original content or production process
- Escalates high-risk, sensitive, or unresolved issues to the Marketing & Outreach Manager
- Supports multiple portfolios and competing deadlines while maintaining consistent quality standards

Qualifications, Knowledge, Skills and Abilities:
Education:
- High School Diploma or equivalent, required
- Bachelor’s degree in Communications, Public Relations, Journalism, Marketing, or Public Administration, preferred
Experience:
- Three (3) or more years of experience in communications, outreach, public engagement, or marketing support, required
- Experience supporting government communications or public meetings, preferred
- Experience supporting grant-funded programs, preferred
- Experience coordinating translation or interpretation services, preferred
- Experience supporting ADA/accessibility considerations and plain-language standards, preferred
- Experience working with underserved communities and community-based organizations, preferred

- Experience with Canva, preferred
- Experience with Adobe Acrobat, preferred

- Ability to address sensitive information in written or verbal communications
- Ability to perform effective public speaking and manage public interactions with professionalism
- Demonstrated experience managing multiple projects and deadlines in a fast-paced environment
- Strong organizational skills to include tracking, version control, and documentation retention
- Ability to support occasional evening and weekend schedules based on outreach event needs
