POSITION SUMMARY: American Councils for International Education seeks a motivated Program Assistant to support the implementation of the Future Leaders Exchange Program (FLEX). Based in Bucharest, the Program Assistant will work under the supervision of the Executive Director, American Councils Romania, and collaborate closely with program managers in Washington, DC, U.S. Embassy representatives, schools, alumni, and other program partners to support the successful delivery of program activities nationwide.

Reporting Lines:   Reports to the Executive Director, American Councils Romania, and maintains a secondary reporting relationship with Program managers in Washington, DC

KEY RESPONSIBILITIES:

Support for FLEX Program Implementation:

- Assist with nationwide student recruitment and selection activities for the FLEX Program.

- Support the organization of testing sessions, interviews, orientations, and participant travel logistics.

- Maintain participant records, applications, and program databases.

- Assist with visa-related processes and communication with participants and their families.

- Provide administrative and logistical support to participants before, during, and after their exchange experience.

- Support communications with schools, local partners, alumni, and Washington, DC-based staff

Program Outreach and Communications:

- Support social media, communications, and program promotion efforts.

- Conduct outreach to schools, educational institutions, and partner organizations across Romania.

- Prepare informational, recruitment, and promotional materials

Other Responsibilities:

- Support local marketing, communications, and outreach initiatives.

- Coordinate alumni events and encourage participation in grants, leadership initiatives, and community engagement activities.

- Assist with budget preparation, expense tracking, financial reporting, and payment processing.

Qualifications

Required:

- Bachelor's degree (completed or expected within the current academic year) or equivalent professional experience.

- Excellent written and verbal communication skills in Romanian and English.

- Strong relationship-building, organizational, and problem-solving skills, with the ability to work independently, manage multiple priorities, take initiative, and adapt to a dynamic environment.

Preferred:

- Experience working in international, NGO, educational, or multicultural environments.

- Experience managing social media campaigns and digital communications.

- Familiarity with U.S. government-funded exchange programs is an asset.
