Key Purpose:
The Credit and Chargeback Analyst will be part of the regional Finance structure in North America, reporting to the Senior Accounts Receivable Manager. This role is responsible for managing an assigned portfolio of customer accounts across the U.S. and Canada with shared accountability for commercial collections, customer credit risk, and chargeback/deduction resolution. The Analyst will proactively monitor past-due balances, contact customers to secure payment, resolve issues preventing payment, and maintain accurate collection notes and payment commitments. The role will also review and assess customer credit during new customer onboarding and on an ongoing basis, coordinate with external credit agencies to monitor customer creditworthiness and appropriate credit limits, and partner closely with Sales to evaluate requests for credit limit increases, payment term changes, order releases, and one-time exceptions. In addition, the Analyst will manage customer chargebacks after identification by the Cash Applications team, coordinating with internal teams and customers to validate deductions, dispute invalid claims, and pursue recovery of amounts owed.

Primary Responsibilities::
Collections & Account Management:
• Manage an assigned portfolio of customer accounts with shared responsibility for collections, credit risk, chargeback resolution, cash flow, and accurate account maintenance.
• Proactively monitor assigned accounts for past-due balances and contact customers by phone and email to secure payment, confirm payment dates, and resolve issues delaying payment.
• Complete assigned collection worklists in YayPay and maintain timely, accurate notes, promises to pay, customer workflows, follow-up dates, and account status information.
• Investigate payment delays by reviewing invoices, remittances, customer portals, EDI or invoice-transmission issues, deductions, unapplied cash, and other account activity; coordinate corrective action to drive balances current.
• Reconcile customer accounts by reviewing open and closed invoices, payments, deductions, credits, and unapplied items, coordinating with the Cash Applications team to ensure payments and adjustments are applied accurately.
• Ensure invoices and supporting documentation have been properly transmitted to customers through required channels and retransmit or coordinate corrections when needed to support timely payment.
Credit Risk & Customer Setup:
• Review and evaluate customer credit during new customer onboarding, including available credit agency information, requested credit limits, payment terms, expected sales volume, trade references when available, and other relevant risk factors; recommend appropriate credit limits and terms for approval.
• Perform ongoing reviews of customer creditworthiness and account exposure, identifying changes in risk and recommending adjustments to credit limits or payment terms when appropriate.
• Prepare and submit monthly accounts receivable aging and other required customer credit information to external credit agencies in accordance with established reporting requirements.
• Coordinate with external credit agencies to monitor existing customers, review credit updates and alerts, and help ensure approved credit limits remain appropriate based on current risk and exposure.
• Partner with Sales to evaluate requests to exceed established credit limits, release held orders, increase credit limits, change payment terms, or approve one-time credit exceptions; review current account exposure, communicate recommendations, and escalate for approval in accordance with company policy and authority levels.
• Review held orders regularly, release orders within established authority when appropriate, resolve issues causing the hold, and escalate credit or collection concerns to management when required.
Chargeback & Deductions:
• Manage customer chargebacks and deductions once identified and routed by the Cash Applications team, prioritizing timely investigation, resolution, and recovery.
• Research chargebacks by reviewing customer claims, invoices, proof of delivery, compliance requirements, promotional agreements, pricing support, remittances, and customer portal information; identify recurring deduction or compliance issues and coordinate corrective action with the appropriate internal teams.
• Coordinate with Logistics, Sales, Customer Service, Sales Operations, and other internal teams to obtain documentation and business support needed to validate, dispute, or resolve chargebacks and payment disputes.
• Communicate directly with customers to dispute invalid deductions, resolve documentation gaps, follow up on unresolved claims, and pursue repayment or other appropriate recovery of amounts owed.
• Monitor the age and status of open chargebacks and past-due receivables, escalating aging, high-value, or high-risk issues to management as appropriate.
General Responsibilities:
• Maintain accurate documentation of collection activity, credit reviews, credit decisions, order-release activity, customer correspondence, chargeback support, disputes, and resolution outcomes for management review and audit support.
• Provide professional and responsive support related to collections, credit, chargebacks, account status, and payment inquiries; partner cross-functionally to meet department aging, cash flow, and deduction-recovery goals.
• Complete additional duties and special projects as assigned.
Qualifications & Experience:
- 3-5+ years of experience in business-to-business credit and collections, customer credit analysis, chargebacks/deductions, or accounts receivable, preferably supporting high-volume retail customers.
- Experience evaluating customer credit, working with external credit agencies, and making or supporting credit limit and payment term recommendations preferred.
- Experience managing customer chargebacks and deductions, including researching claims, gathering supporting documentation, submitting disputes, and pursuing recovery, preferred.
- Experience with SAP and customer portals (such as Walmart, Costco, Target, Amazon, etc.) preferred; strong Excel and Microsoft Office proficiency.
- Excellent verbal and written communication skills, including the ability to communicate credit decisions, collect past-due balances professionally, and resolve disputes with internal and external stakeholders.
- Strong attention to detail, accuracy, organization, and ability to manage multiple priorities and deadlines.
- Strong analytical and problem-solving skills with the ability to investigate issues, identify root causes, make sound recommendations, and drive timely resolution.
