Job Summary:
The Recreation Coordinator II position is an essential part of the Culture, Parks, and Recreation Department. This position is responsible for overseeing the daily operations of the Family FunPlex. The Recreation Coordinator II position is directly responsible for hiring, training, scheduling, and evaluating part-time employees. This position is responsible for membership promotion and retention, facility rentals, and oversight of drop-in and structured programs and events. This position ensures quality customer service and provides a safe and welcoming environment for all members and guests. The Recreation Coordinator II will report to the Recreation Supervisor.
Experience, Knowledge, Skills:
Minimum Requirements:
- Bachelor's degree in Recreation, or a related field required.
- One to three (1-3) years of recreation or special event programming experience.
- Current certification in Community CPR, First Aid and AED or within 3 months of hire.
- Previous experience in customer service and recreation facility management required.
OR
- Any combination of related education, experience, certifications and licenses that will result in a candidate successfully performing the essential functions of the job,
AND
- Possession of a valid driver’s license.
Preferred:
- Bilingual in English and Spanish.
- Previous staff management experience preferred.
- Knowledge and experience with recreation management software, Amilia preferred.
- Knowledge and experience with Microsoft Office software preferred.

Travel:
- Category A-Standard Local Travel: This position requires occasional local travel within the County. Employees may be expected to walk or drive short distances to attend meetings, trainings, or perform work at other city buildings or partner sites.
Essential Functions:
Facility & Risk Management:
- Coordinate facility operations on a day-to-day basis, overseeing facility guest services operations to include the customer service experience of members, guests, and others utilizing the facility.
- Oversee reservation requests and schedule internal bookings for the Family FunPlex.
- Work directly with Facilities staff to ensure rooms are prepared for user groups.
- Assist with park shelter and park area reservations, communicating regularly with the Parks Division.
- Work with Recreation staff to schedule events, practices, and other activities for sports, fitness, and aquatic programs.
- Monitor supply inventory front desk, pro shop and concession supplies, placing orders when appropriate.
- Actively assess risk throughout the facility and take proactive steps to ensure such risk is mitigated.
- Assist in establishing and enforcing rules of facility.
- Ensure any personally identifiable information gathered from clients remains confidential and complies with HIPAA regulations.
- Conducts staff and volunteer training on sport rules, officiating, safety, and risk management.
Personnel & Fiscal Management.
- Hire, train, schedule, supervise, and evaluate staff including two full-time Customer Service Representative and approximately 30-45 part-time employees.
- Coordinate and conduct regular staff meetings and trainings on topics such as customer service, risk management, emergency response, conflict resolution, and the recreation management software, Amilia.
- Responsible for the preparation, administration, and oversight of the operations budget and related funds, and the development of reports and performance measure data in support of Department and Division financial goals.
- Work closely with Recreation staff and upper management to ensure there is consistency and accuracy in how policies and standard operating procedures are being implemented and enforced.
Customer Service & Engagement:
- Deliver prompt and professional solutions to both external and internal customer inquiries through face-to-face, phone, and email interactions. Inquiries will focus on the services, programs, and activities offered by the facility, as well as the entire Culture, Parks and Recreation Department.
- Provide quality service through the development of relationships with facility users, program participants, community members, City employees, and numerous partner organizations.
- Provide comprehensive tours of the facility to those who inquire.
Assessment & Technology:
- Learn to use and effectively operate recreation management software, Amilia, for daily operations of the facility including account management, program registrations, facility reservations, and other management functions.
- Support departmental work groups such as sports, fitness, and aquatics to improve the customer experience with the registration process using Amilia, and website.
- Assist in the updates of REACH software and digital signage.
- Administer surveys and focus groups to gauge member satisfaction levels, gain constructive feedback, and foster ideas.
Program Management:
- Design and implement informal programming and special events taking place at one's assigned facility.
- Work directly with the Communication & Engagement Department to ensure marketing materials, website, and social media sites are updated with accurate information.
- Develop and maintain positive relationships with participants and create a welcoming and inclusive environment.
- Assists with budget development, monitors expenditures and staff hours, and tracks performance measures and cost recovery goals.
- Coordinates contracts, inventory, supplies, and equipment for program operations.
- Performs other duties as assigned.

Work Environment and Physical Requirements:
Work Environment:
- Works in office, recreation facility, outdoor park, and field environments.
- Regularly works evenings, weekends, holidays, and extended hours based on program schedules, events, and seasonal demands.
- Frequently interacts with participants, parents, coaches, officials, volunteers, vendors, community partners, and City staff.
- Works in active recreation settings that may include gyms, athletic fields, parks, community spaces, and event locations.
- May be exposed to varying weather conditions, noise, crowds, and fast-paced program environments.
- May travel between facilities, parks, program sites, and event locations throughout the workday.
- May respond to participant incidents, customer concerns, scheduling issues, and other time-sensitive operational needs.
Physical Requirements:
- Requires mobility to move throughout offices, recreation facilities, athletic fields, parks, and event sites.
- Frequently stands, walks, bends, stoops, kneels, reaches, and moves throughout indoor and outdoor program areas.
- May lift, carry, push, or pull supplies, equipment, and materials used for recreation programs and events.
- Requires the ability to set up, take down, and transport program or event equipment.
- May be required to demonstrate program activities, monitor participant safety, and respond quickly in emergency or first-aid situations.
- Must be able to work in both sedentary administrative tasks and active, physically demanding program settings.
- Vision enough to interpret computer screens and documents to assist the public and complete work assignments; specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
- Manual dexterity enough to complete daily work such as equipment repair, operate computer keyboards, drive and operate motor vehicles, operate other office equipment, and complete paperwork.
- Duties may require standing, walking, and sitting for long periods; handling and operating objects and equipment, reaching outward and above shoulders to carry, pull, push or lift up to 50 pounds unassisted.
