Working within a fast-paced and collaborative team, you will provide essential operational, administrative and customer service support across programme delivery, governance, reporting and stakeholder engagement. From managing data and producing insights to coordinating events, supporting marketing activities and engaging with SMEs, you will help keep the programme running smoothly while contributing to its growth and success.

Key Tasks

Programme Monitoring, Reporting & Governance
· Monitor programme performance against delivery, financial, output and outcome targets, ensuring delivery and quality concerns are raised and tacked promptly.
· Understand and track risks, issues and mitigation actions, escalating concerns where appropriate.
· Coordinate, create, cleanse and maintain programme CRM, documentation, reports and governance records on a regular basis to meet compliance obligations.
· Produce reports and performance insights for funders and internal stakeholders to support performance monitoring, decision-making and service improvement.
Grant Administration & Compliance

· Support end-to-end grant administration, including applications, assessments, awards and claims processes.
· Coordinate assessor documentation, grant panel meetings and minute taking.
· Support eligibility and compliance checks; liaising with applicants, the finance team and Programme Manager.
· Track and maintain grant records, CRM data and supporting documentation to ensure end-to-end processes are completed and compliance is met.
· Process purchase orders, invoices and financial claims in line with funding and organisational requirements.
Programme Operations, Events & Logistics

· Coordinate meetings, workshops, webinars and events with internal and external stakeholders.
· Manage event logistics, including venue booking, attendee registration and event delivery support.
· Prepare agendas, presentations, minutes, action logs and project documentation.
· Support the delivery of alumni engagement activities such as; webinars, workshops, networking events and the end of year event.

Data, Insights & Continuous Improvement
· Collect, analyse and report on SME feedback and programme engagement data; working with the delivery team and external stakeholders.
· Coordinate impact surveys and monitor programme outcomes.
· Produce insights and recommendations to improve programme delivery and customer experience.
· Support the development of reporting and operational processes.
Stakeholder & Customer Support
· Act as a key point of contact for SME enquiries, ensuring a professional and responsive service.
· Manage programme inboxes and handle day-to-day communications.
· Build and maintain effective relationships with SMEs, delivery partners, universities and stakeholders.
· Support stakeholder engagement activities and respond to queries on behalf of the team where appropriate.
Digital Internship Programme Coordination
· Lead the administration and monitoring of the Digital Internship programme.
· Liaise with universities and delivery partners to promote internship opportunities.
· Coordinate internship applications, placements and reviews.
· Monitor compliance, performance and outcomes of internship placements.

Marketing, Outreach & SME Engagement
· Support Made Smarter’s Marketing Executive and Social Media Executive with marketing, outreach campaigns to raise awareness of the Made Smarter programme and generate SME engagement.
· Coordinate promotional activities with internal marketing teams and external partners.
· Support the marketing team with creation, distribution and tracking of marketing communications, including newsletters, events and digital campaigns.
· Manage and monitor and review event registrations and campaign leads and follow-up activities, to convert leads into programme participants.
· Monitor outreach performance and engagement metrics, providing insights and recommendations to improve campaign effectiveness.
· Gather and share SME success stories, testimonials to support the development of case studies and impact reporting.
Additional Responsibilities

· Undertake other reasonable administrative and operational duties to support the Small Business Directorate.

You’ll have/bring

· Knowledge of project management, including data analysis, project planning and evaluation · Well-developed IT skills, experience of using financial and content management systems and processes and excellent report writing skills
· In-depth knowledge of Excel and other MS Office tools including PowerPoint and Word

· In-depth knowledge of database systems (e.g. Salesforce) including data entry and cleansing and experience using CRM systems, e.g. Salesforce, is desirable

· Knowledge of data collection software (e.g. google forms, smart survey) desirable · Excellent written and verbal communication skills · Strong interpersonal and customer service skills · Ability to effectively develop and implement work plans · Organise all tasks to be delivered to the required standards. · Ability to achieve deadlines and targets · Excellent attention to detail with high professional standards · Proficiency in administrative procedures; and an ability to work effectively within a target-driven, KPI process-driven environment · Experience coordinating events In addition, you will be able to demonstrate attention to detail, willingness to be flexible based on the requirements of the team, ability to multi-task and willingness to collaborate with other team members as well as work on your own initiative when required to do so
