Job Title: Administrative Assistant / Receptionist Job Description This onsite Administrative Assistant / Receptionist role offers the opportunity to be the welcoming face of a growing office in Ann Arbor, MI while supporting a wide range of administrative and coordination tasks. You serve as the first point of contact for visitors and employees, manage day-to-day office operations, and provide essential support to leadership and staff. Responsibilities
- Welcome and assist visitors, guests, and employees, ensuring a professional and positive first impression.
- Answer and direct incoming phone calls and emails promptly and courteously.
- Coordinate executive calendars, including scheduling meetings and managing appointments.
- Organize and support office events and meetings for domestic and international teams.
- Support payroll administration by collaborating with a third-party payroll provider and handling related documentation.
- Assist with invoice processing, including tracking, routing for approval, and helping resolve discrepancies.
- Maintain overall office organization, including managing supplies, files, and general administrative tasks.
- Provide general administrative support to leadership and office staff as needed.
- Assist with data entry and clerical tasks to keep records accurate and up to date.
- Help ensure smooth day-to-day office operations by proactively identifying and addressing administrative needs.
Essential Skills
- At least 2+ years of experience as a receptionist, administrative assistant, office coordinator, or in a closely related administrative role.
- Strong customer service skills with a proven ability to create a welcoming and professional environment.
- Excellent verbal and written communication skills for interacting with visitors, employees, and external partners.
- Experience managing calendars and scheduling meetings, including coordination of executive or leadership schedules.
- Strong attention to detail and organizational abilities to handle multiple tasks accurately and efficiently.
- Proficiency with Microsoft Office Suite, particularly Outlook, Word, and Excel.
- Ability to prioritize tasks effectively and work independently with minimal supervision.
- Comfort working with invoices, payroll support activities, and other administrative documentation.
- Solid interpersonal skills to build positive working relationships within a small-office team.
- Reliable, dependable work style with a focus on follow-through and accuracy.

- Experience providing administrative support in a small, collaborative office environment.

Work Environment This is a fully onsite position based in an office environment in Ann Arbor, MI. The standard schedule is Monday through Friday from 8:00 a.m. to 5:00 p.m. You work closely with a small, close-knit team where collaboration, reliability, and a positive attitude are highly valued. The role involves frequent interaction with visitors, employees, and leadership, as well as regular use of Microsoft Office applications and typical office equipment. Pay and Benefits
The pay range for this position is $20.00 - $23.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors. Eligibility requirements apply to some benefits and may depend on your job
