What youll be doing:
To administer parking requests and other services to monthly parkers, tenants, and customers of Childress Klein managed parking facilities. Provide administrative support to the on-site parking staff, as well as building management.
What youll be responsible for:
- Provide assistance, information, and resolution to parkers who call in with inquiries and complaints.
- Provide excellent customer service duties for the parking division, including receiving all incoming phone calls, emails, and assisting walk-in customers.
- Operate parking software; process registrations and cancellations; verify, input, and update information in parker records; run weekly and monthly reports; create invoices; apply payments to correct accounts; reconcile and audit invoices and payments to parking database; send out receipts as requested; process daily reports and record parking automation deposits delivered from the parking ambassador.
- Accurately maintain inventory of parking access devices, including issuance, returns, testing for functionality, processing deposit and first-month payments and ensuring a reasonable inventory is maintained.
- Accurately maintain and update parking databases and customer accounts.
- Manage administrative side of event parking, including informing customers of validation options, working directly with customers to process validation orders, invoicing, maintaining accurate records and validation logs, and processing validation tickets as needed.
- Manage and maintain validation tickets for parking and building management office.
- Assisting with AR administrative duties including but not limited to information and monetary reporting, collection of past due payments, and communications to management and Accounting as required.
- Maintain proficiency with all systems and databases required to perform job duties, including learning to operate and utilize new systems as necessary.
- Provide administrative support for the parking managers and department, as well as building management, including data entry, filing, and mailing correspondence. Support parking ambassadors patrol via generating weekly tag listing with appropriate updates.
- Process all parking invoices (i.e. company paid accounts, individual parker payments, client parking bill back program, and other validation requests associated with the automated encoder), monitor aged receivables, contact past due customers, and collect revenue on a timely basis.
- Provide emergency response during building fire and emergency situations.
- Assist parking management in the monitoring of garage lot vacancy and the leasing of monthly parking spaces; ensure accuracy of the parking access database.
What we need from you:
Education and/or Experience
Associates degree in a related field; two years experience in an administrative role with a service-oriented business preferred; proficiency with Windows and Microsoft Office software required; 1-2 years of customer service experience preferred, or equivalent combination of education and experience.
Computer Skills
Use of Windows Operating System. Intermediate to advanced Word and Excel. One or more years experience working with databases desired.
Language Skills
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to communicate effectively with customers, superiors, employees, and business groups.
Accounting Skills
Ability to perform fundamental accounting tasks, involving reporting and reconciliation for cash and credit card receipts, invoicing, accounts receivable and accounts payable.
Interpersonal Skills
Ability to communicate clearly and effectively both orally and in writing, present a professional image at all times, gain the trust and confidence of others, build and maintain positive business relationships, work cooperatively with a variety of individuals, and always project a positive attitude.
Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations and to maintain a calm attitude in stressful situations.
