We are seeking a highly organized and detail-oriented Compliance Coordinator to manage and support the company's multi-state licensing, business registrations, tax correspondence, and insurance administration.

This position will be responsible for tracking regulatory requirements and deadlines, preparing applications and renewals, communicating with state agencies and insurance providers, maintaining accurate documentation, and ensuring that company registrations and licenses remain active and in good standing.

The ideal candidate is proactive, comfortable researching state-specific requirements, able to manage multiple deadlines simultaneously, and capable of following an issue from initial request through final resolution.

This is an in-office role in Carol Stream, IL.

Pay Range: $24.00 - $26.00 per hour plus annual bonus

Factors, such as but not limited to, geographical location, relevant experience, education, and skill level may impact the pay for this position.

Key Responsibilities

Professional & Firm Licensing

- Manage applications and renewals for Professional Engineer (PE), and other professional licenses as assigned.
- Manage engineering, and other professional firm registrations/Certificates of Authorization in multiple states.
- Research state licensing requirements, renewal requirements, continuing education requirements, fees, and deadlines.
- Coordinate signatures, affidavits, certificates, corporate documents, and supporting documentation.
- Communicate with state professional licensing boards regarding pending applications and deficiencies.
- Maintain a master licensing tracker showing status, expiration dates, renewal dates, responsible individuals, fees, and outstanding items.

Business Registrations & Corporate Compliance

- Prepare and maintain business registrations in multiple states.
- Assist with foreign corporation qualifications and Secretary of State registrations.
- Track annual reports, business licenses, registered-agent requirements, and state filing deadlines.
- Obtain Certificates of Good Standing and other corporate documents when required.
- Research requirements when the company begins operating in a new state.
- Maintain organized records of approvals, confirmations, certificates, and correspondence.

Tax Correspondence & Registrations

- Review and coordinate responses to business tax notices and letters received from state and local agencies.
- Research the purpose of notices and identify required actions and deadlines.
- Coordinate with Accounting, Payroll, and HR when necessary.
- Maintain a tax correspondence log showing notice date, agency, issue, deadline, responsible party, status, and resolution.
- Maintain copies of registrations, account confirmations, filings, and agency correspondence.

Assist with Insurance

- Gather renewal information and documentation from internal departments.
- Assist with insurance claims by collecting documentation, photographs, estimates, police reports, repair information, and other supporting records.
- Communicate with insurance agents, adjusters, repair facilities, and internal personnel regarding claim status.
- Maintain a claims tracker showing claim number, date of loss, carrier, adjuster, status, outstanding documentation, financial information, and resolution

Tracking & Documentation

- Develop and maintain a centralized Compliance Calendar covering licenses, registrations, annual reports, tax requirements, and assist with insurance renewals.
- Maintain electronic files with consistent naming and documentation standards.
- Provide regular status reports identifying upcoming deadlines, pending applications, unresolved notices, open claims, and items requiring management action.
- Escalate approaching deadlines and compliance risks before they become urgent.

Qualifications

- Comfortable communicating directly with government agencies, insurance carriers, brokers, and internal management.
- Preferred candidate has experience handling confidential corporate, accounting, tax, and insurance information.
- Experience managing state tax notices and insurance claims.
- Strong research and problem-solving skills.
- Excellent organizational and follow-up skills.
- Strong attention to detail and ability to work with regulatory documents.
- Ability to manage multiple applications, deadlines, and open issues simultaneously.
- Strong written and verbal communication skills.
- Strong with Microsoft Excel, Outlook, Word, Teams
