Job Title: Administrative Assistant Job Description
This Administrative Assistant role combines traditional administrative support with light technical responsibilities. You provide exceptional customer service via phone, email, and in person while supporting software maintenance on laptops, handling order processing and records, and creating reports and communications. You work closely with a collaborative team in a professional office environment and learn critical functions to provide reliable backup support.
Responsibilities
- Respond to requests via phone and email, clearly explaining solutions in both technical and non-technical terms.
- Provide excellent customer service in face-to-face, telephone, and electronic interactions with clients and co-workers.
- Maintain installed software on laptops, including routine maintenance and basic troubleshooting.
- Ensure that all work is completed within agreed service levels and in accordance with department guidelines.
- Explain and document technical issues in a clear, concise, and understandable way for clients and internal stakeholders.
- Assist with order processing, records maintenance, shipping, and billing activities.
- Create, process, and format reports, memos, letters, bulletins, and other written communications.
- Perform general administrative and clerical tasks such as filing, data entry, calendar management, and email management.
- Handle inbound calls and customer support inquiries in a professional and service-oriented manner.
- Learn critical functions within the team and provide reliable backup support when needed.
- Collaborate with colleagues as a team player to support smooth office operations and departmental goals.
Essential Skills
- Proven ability to provide administrative support, including clerical work, filing, data entry, and calendar management.
- Strong organizational skills with a high level of attention to detail and the ability to prioritize multiple projects.
- Customer service orientation with experience delivering excellent service in person, over the phone, and via email.
- Effective language and communication skills, with the ability to explain information clearly in technical and non-technical terms.
- Strong computer skills and comfort working with various software applications.
- Proficiency with Microsoft Office Suite, including strong Excel skills.
- Ability to install and perform basic troubleshooting for software on laptops.
- Capability to document technical issues clearly and accurately for clients and internal use.
- Ability to work as a team player in a professional office environment.
- Comfort managing email communications and handling inbound calls in a customer support setting.
Additional Skills & Qualifications
- Additional technical proficiency with computers and software is a plus.
- Experience with Outlook or similar email and calendar tools is beneficial.
- Background in customer support or call handling is advantageous.
- Experience in order processing, records maintenance, shipping, or billing is helpful.
- Ability to adapt and learn new processes to provide backup for critical team functions.
Work Environment
This role is fully onsite in a professional office setting. You work closely with a team in a structured environment that emphasizes collaboration, customer service, and adherence to department guidelines and service levels. Daily work involves extensive use of computers, Microsoft Office Suite (including Excel), email tools such as Outlook, and standard office equipment. The position offers a contract-to-hire arrangement, providing an opportunity to transition into a longer-term role based on performance and business needs. Professional office attire is expected to align with the workplace standards.

This is a Contract to Hire position based out of Racine, WI.
Pay and Benefits
The pay range for this position is $17.00 - $19.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors. Eligibility requirements apply to some benefits and may depend on your job
classification and length of employment. Benefits are subject to change and may be
