About this role

Job Summary

NMR Consulting is seeking a Program Support Specialist to provide corporate operational support. This position supports employees, leadership, contracts, recruiting activities, office operations, equipment coordination, and employee engagement.

Primary Responsibilities

Corporate Office and Administrative Support

- Answer, screen, and direct incoming corporate calls and provide professional assistance to callers and visitors.

- Manage and maintain corporate hot-desk and conference-room schedules.

- Monitor and replenish office supplies to keep the corporate office organized, stocked, and ready for daily operations.

- Manage and maintain inventory for company apparel, promotional items, and branded merchandise.

- Provide general administrative and program support to employees, leadership, and contract teams.

Hardware and Technology Coordination

- Maintain accurate hardware inventory records for equipment in stock, assigned to employees, returned, or awaiting service.

- Coordinate the distribution, return, storage, and tracking of laptops and other company-issued equipment.

- Work with the company’s managed service provider to coordinate laptop reconfigurations, new-user setups, equipment replacements, and warranty claims.

- Prepare equipment for employee onboarding and ensure returned equipment is documented and processed appropriately.

- Escalate technical and equipment-related issues to the appropriate internal contact or managed service provider.

Recruiting and Employee Engagement

- Attend job fairs, recruiting events, and community events as an NMR representative.

- Assist with event preparation, promotional materials, giveaways, and follow-up activities.

- Coordinate onboarding boxes and ensure materials are prepared and distributed to new employees.

- Support employee appreciation initiatives, company morale events, and other employee engagement activities.

- Assist with planning, preparing, and executing corporate events and special initiatives.

General Responsibilities

- Maintain accurate records and documentation for assigned office, security, merchandise, hardware, and employee-support responsibilities.

- Communicate effectively with employees, leadership, government representatives, contract personnel, vendors, and service providers.

- Manage multiple responsibilities and changing priorities while maintaining confidentiality and attention to detail.

- Perform other duties as assigned.

Job Requirements

- Bachelor's degree preferred; relevant experience may be considered in place of education.

- Strong organizational, time-management, recordkeeping, problem-solving, written communication, and verbal communication skills, with a professional and service-oriented approach.

- Proficiency with Microsoft 365, including Outlook, Word, Excel, and Teams, and the discretion to handle sensitive company, employee, contract, and security information.

- Ability to work independently and collaboratively with employees, leadership, government representatives, contract personnel, vendors, and service providers.

- Hybrid schedule requiring 3-4 days in the office, extended periods performing general office duties, and attendance at off-site job fairs, recruiting events, and company functions as needed.

- Ability to lift, carry, and move office supplies, onboarding materials, computer equipment, and merchandise as needed.
