About this role

Brief Summary:

The Workforce Support Associate provides basic on-site administrative assistance to the Human Resources Department, which is based in Fresno, California. This position supports the completion, collection, and organization of routine HR-related tasks at the Tustin, CA Distribution Center such as recruitment and incident/safety reports. The Workforce Support Associate works under the direction of the Human Resources Department and does not independently handle employee relations matters, interpret company policies, or make employment-related decisions. Questions or concerns requiring HR review must be referred to the appropriate Human Resources representative in Fresno.

Essential Functions:

- Provide administrative support to the distribution center and Human Resources Department.

- Support full-cycle new-hire onboarding.

- Assist with preparing, distributing, collecting, scanning, and filing HR-related forms and documents.

- Manage temp employee vendor

- Assist employees with accessing routine forms, instructions, HR systems, and contact information.

- Direct employee questions, complaints, leave requests, accommodation matters, and other HR concerns to the appropriate Human Resources representative.

- Provide administrative support with leave-of-absence and workers' compensation documentation as directed by Human Resources.

- Assist with pre-employment and onboarding requirements, including document collection and communication with candidates or new hires.

- Maintain required workplace postings and distribute HR communications provided by the Human Resources Department.

- Perform general office duties, including data entry, scanning, copying, filing, preparing correspondence, and maintaining spreadsheets.

- All other duties as assigned.

Knowledge, Skills and Experience:

Required

- Minimum 2+ years related experience

- Bilingual in both English and Spanish

- Knowledge of Microsoft Office, online ticketing systems, and HRIS

- Excellent verbal and written communication skills in English

- Take initiative to plan, organize, and complete assignments independently

- Initiate, maintain, and complete both short term and long-term projects simultaneously

- Able to work independently and work effectively as a member of a team

- Able to handle regular interruptions to serve the needs of others while maintaining focus on multiple priorities and short and long term deadlines

- Able to finish projects both quickly and accurately

- Maintain the highest level of integrity and confidentiality

- Establish and maintain cooperative relationships with employees, maintaining a warm and professional manner with a positive employee relations and customer service mindset

Preferred

- Pre-existing relationships with staffing agencies in the local area

- Experience with work comp intake, OSHA recordkeeping, and/or safety coordination

Work Environment:

When in-office: well-lit, heated and/or air-conditioned indoor office and showroom setting with adequate ventilation. When on distribution floor: well-lit, covered indoor and outdoor areas with adequate ventilation, some uneven floors, and heavy machinery running.
