About this role

Position Summary

Forge Nano is seeking a detail-oriented and analytical Document Control Analyst to support and maintain the integrity of our quality management systems and controlled documentation processes. Reporting to the Quality Manager, this role is responsible for ensuring documents, procedures, and quality systems comply with internal standards, regulatory requirements, and industry best practices. The ideal candidate is highly organized, possesses strong technical writing and problem-solving skills, and excels at collaborating with cross-functional teams to drive compliance, continuous improvement, and operational excellence.

Responsibilities

Quality Systems Management

- Analyze and evaluate existing quality systems, processes, and workflows to ensure compliance with internal standards and applicable regulations.
- Support the development, implementation, and continuous improvement of quality management system (QMS) processes.
- Identify process gaps, risks, and opportunities for improvement and recommend corrective actions.
- Monitor quality system performance metrics and support management reporting activities.
- Collaborate with stakeholders to ensure quality processes remain effective, efficient, and scalable.

Document Control & Technical Documentation

- Manage document control processes, including creation, review, approval, revision, distribution, and archival of controlled documents.
- Maintain quality documentation including policies, procedures, work instructions, forms, quality plans, and manuals.
- Ensure proper version control and document traceability throughout the document lifecycle.
- Verify documentation accuracy, consistency, completeness, and compliance with company standards.
- Support the implementation and maintenance of electronic document management systems.

Audit & Compliance Support

- Coordinate and support internal and external audits.
- Review documentation and records to ensure compliance with applicable regulatory and quality requirements.
- Assist in preparing audit materials, corrective action plans, and audit responses.
- Track audit findings and support closure of corrective and preventive actions (CAPAs).
- Maintain compliance readiness for customer, regulatory, and certification audits.

Cross-Functional Collaboration & Training

- Work with Engineering, Operations, Manufacturing, Quality, and other departments to gather requirements and ensure documentation accuracy.
- Provide guidance on documentation standards, quality requirements, and document control procedures.
- Train employees on quality system processes, controlled documentation practices, and compliance requirements.
- Support change management initiatives related to quality systems and documentation updates.

Systems Support & Continuous Improvement

- Document, track, and assist in resolving system issues, process deficiencies, and documentation discrepancies.
- Support validation, testing, and implementation of quality-related systems and software tools.
- Develop and maintain reports related to quality system performance, compliance metrics, and improvement initiatives.
- Participate in continuous improvement projects focused on efficiency, compliance, and quality enhancement.

Qualifications

Required Qualifications

- Associate’s or Bachelor’s degree in Technical Writing, Engineering, Quality Management, Life Sciences, Business Administration, or a related field.
- 2+ years of experience in document control, quality systems, quality assurance, compliance, or a related discipline.
- Strong attention to detail, organizational skills, and analytical abilities.
- Experience maintaining controlled documentation and document management systems.
- Proficiency with Microsoft Office applications, including Word, Excel, and PowerPoint.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Demonstrated ability to work effectively within cross-functional teams.

Preferred Qualifications

- Experience working within ISO 9001, ISO 13485, FDA, GMP, GxP, or similar regulated environments.
- Experience with electronic quality management systems (eQMS) or document control platforms.
- Knowledge of audit methodologies, CAPA processes, and risk management principles.
- Experience supporting internal, customer, or third-party audits.
- Technical writing experience within manufacturing, engineering, biotechnology, or technology industries.
- Familiarity with process mapping, workflow management, and continuous improvement methodologies.

Work Environment

This position operates primarily in a professional office environment and routinely uses standard office equipment, including computers, phones, printers, scanners, and document management systems. The role regularly collaborates with cross-functional teams across the organization.

Physical Requirements

This position is primarily sedentary and requires prolonged periods of working on a computer, reviewing documentation, and attending meetings. Occasional lifting of files, records, or materials up to 20 pounds may be required.

Travel

Limited travel may be required to support audits, training, or business operations.

Compensation & Benefits

Salary Range: $31.25 - $36.06, per hour, commensurate with the candidate’s experience, qualifications, and overall fit for the role. Overtime may be available and is subject to prior management approval. Placement within the pay range will be determined based on relevant experience, skills, qualifications, and alignment with internal equity considerations among current employees.
