JOB TITLE: Student Services Special Projects Coordinator - Part Time
DEPARTMENT: Student Services
REPORTS TO: Vice President for Student Success and Dean of Students
Associate Dean of Students and Director of Residence Life
PURPOSE OF POSITION:
The Special Projects Coordinator reports to the Vice President for Student Success and Dean of Students and the Associate Dean of Students and Director of Residence Life and coordinates assigned Student Services projects and operational systems. The position manages student-facing processes, maintains accurate data and records, prepares reports and communications, and provides front-office service and administrative support.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Coordinate assigned special projects from planning through completion; track tasks, deadlines, records, and follow-up; and provide status updates to Student Services administrators.
• Manage and maintain the Defender ID card creation and distribution process.
• Manage the parking registration and violation system.
• Manage the student housing key distribution system.
• Analyze and create reports and spreadsheets, prepare multimedia presentations, and maintain electronic database information for assigned projects and operations.
• Provide advanced word-processing support; draft routine correspondence; take meeting notes; prepare minutes and reports for distribution; maintain project files; and proofread work for accuracy.
• Receive and respond to phone calls, visitors, and correspondence and make appropriate referrals.
• Provide general information about student policies and procedures, respond to routine student requests, and refer complex or sensitive matters to the appropriate Student Services administrator.
• Represent Dordt University and the Student Services office in routine communications with faculty, staff, students, parents, and other internal and external constituents in a pleasant and professional manner.
• Collaborate with the Office Manager on the hiring, onboarding, scheduling, and support of Student Services student employees as assigned.
• Provide backup administrative support to Student Services administrators as directed.
• Perform other duties as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES:
• A clear understanding of and commitment to the Reformed perspective and mission of Dordt University, with the ability to articulate and communicate the mission effectively.
• Ability to express an active Christian commitment, including identification with a local organized church whose beliefs are consistent with the mission of the university.

• An associate or bachelor's degree and a minimum of two to four years of experience in administrative support, project coordination, or a comparable position, or an equivalent combination of education, experience, and training, are required. A bachelor's degree is preferred.
• Knowledge of contemporary office practices and procedures, with the ability to adapt skills as the environment and technology change.
• Extensive experience with Microsoft Office, including Word, Excel, Access, and PowerPoint.
• Strong organizational and project-coordination skills, including the ability to manage multiple tasks, deadlines, records, and follow-up.
• Ability to create and maintain accurate spreadsheets, databases, reports, correspondence, and project files.
• Ability to carry out detailed written and oral instructions while managing unforeseen variables.
• Ability to work effectively both independently and as part of a team.
• Ability to communicate established policies and procedures, respond to routine requests, and recognize when a matter should be referred to the appropriate Student Services administrator.
• Excellent interpersonal skills and the ability to represent the university in a pleasant and professional manner with varied audiences.
