About this role
Responsible for the collection, editing, coding and calculation of invoices, charges, transfer tickets including other accounting actions in accordance with established departmental and company policies and procedures. Individual responsibilities vary as assignments are made for Accounts Receivable, Accounts Payable, Inventory Management and other services.
DUTIES AND RESPONSIBILITIES:
- Collects, edits, codes and calculates all invoices, charges, transfer tickets or other accounting actions upon receipt.
- Charges appropriate cost center or records receipts according to established procedures.
- Processes credits and adjustments to invoices in a timely and accurate manner.
- Maintains orderly files for all accounts and supporting transaction registers.
- Retrieves and updates data; produces and edits various reports as scheduled or requested.
- Answers questions and assists Center personnel with problems and inquiries.
- Interacts with and assists coworkers and other employees in a professional and courteous manner.
- Completes other assignments and duties as may be assigned.

ACCOUNTS RECEIVABLE DUTIES:
DAILY/WEEKLY:
- Collect, review, enter charges as needed, and file all lab service tickets, printing a register on a daily basis.
- Collect, record and deposit all monies received on a daily basis. Monitor and maintain files on delinquent accounts. Notify accounting supervisor of any collection or billing problems.
- Collect and record all BTX messages and collect and review all transaction tickets from Centers, reporting all errors/problems to Center Product Management Coordinators.
- Collect therapeutic apheresis service tickets from each Center; enter charges into customer accounts and post service registers.
- Research all requests for new customer codes and update customer code file in Elite and Excel. Assign and/or update customer files in MAS.
- Research all requests for new price codes, updating price code files in Elite and Excel. Assign and/or update product inventory files in MAS.
- Collect manual invoices from Resource Sharing and enter into computer records. All cash receivables must be recorded to A/R Salvage.
- Collect and record all Donor Recruitment Program forms from centers and enter credits to customer accounts in MAS.
- Collect and review all claims for Group Benefit Plan, Family Benefit Plan, and replacement credits.
- Voucher payments to hospitals for all approved claims; send notice of payment to hospital or denial of claim to patient.
- Print Replacement Donations Report monthly, research and voucher for payment to hospital according to Replacement Credit policy.
MONTHLY:
- Responsible for monthly Accounts Receivable billing and collections activities. Generates customer invoices.
- Prints past due aging report and contacts all accounts that are past due, recording contacts for future reference.
- Monitors all A/R Resource Sharing blood logs for cost and price charged to customer, recording all shipments on the A/R Resource Sharing Report and balancing A/R Resource Sharing Report to MAS General Ledger on a monthly basis.
- Runs monthly reports.
ACCOUNTS PAYABLE DUTIES:
DAILY/WEEKLY:
- Sorts and opens mail.
- Coordinates requisitions, purchase orders, packing and receiving slips to verify that all supporting documentation is attached and proper authorizations have been obtained prior to processing invoices, charges, check requests or any requests for payment.
- Prepares accounts payable vouchers.
- Keys invoices into computer.
- Updates transaction registers.
- Prepares checks and mail every Thursday.
- Files all postings and check copies.
MONTHLY:
- Enter monthly recurring charges.
- Reconcile monthly credit card charges.
- File paid invoices.

Qualifications
KNOWLEDGE / SKILLS / ABILITIES:
- High School diploma or equivalent
- At least one (1) year of work experience in a computerized accounting department with experience in one or more functions, i.e. Accounts Receivable, Accounts Payable and Inventory Control
- Must be proficient with Microsoft Office suite (Word, Excel, Outlook); ability to learn and utilize accounting software package
- Must demonstrate ability to effectively deal with the public tactfully and handle confidential information in a responsible manner.
- Must demonstrate ability to perform work promptly and accurately.
- Must demonstrate a willingness to recognize procedural errors and take appropriate action in reporting and correcting errors.
- Must demonstrate a positive approach toward other staff members, acting in a highly professional manner at all times.
PHYSICAL DEMANDS / WORKING CONDITIONS / ENVIRONMENT:
- Position requires long periods of work sitting at desk, talking on telephone and/or using PC or typewriter at desk.
- Low risk of exposure to infectious diseases from blood and blood products. Generally works in corporate office environment.
