LOCATION: Lehi, UT (in-office)
POSITION OVERVIEW:
We’re looking for a highly organized and reliable Executive Assistant to support our CEO. This role keeps the office of the CEO running smoothly — managing the calendar and inbox, preparing him for meetings, tracking follow-ups, and coordinating travel and day-to-day logistics. It’s a great fit for someone who is proactive, detail-oriented, and enjoys staying one step ahead. For the right person, it also offers meaningful exposure to how a growing company operates, with room to take on broader responsibilities over time.
RESPONSIBILITIES:
● Manage and maintain the CEO’s calendar: schedule meetings with context, resolve conflicts proactively, and coordinate with internal and external contacts
● Support inbox management: help triage email, draft correspondence, and flag items that need the CEO’s attention
● Prepare a short daily brief covering the day’s schedule, priorities, and outstanding items
● Capture action items from meetings and keep tasks and commitments on track in our project management tools
● Prepare materials and context ahead of meetings, including recurring leadership meetings and interviews
● Welcome office visitors and help with meeting and event logistics
● Book and manage travel, including itineraries and schedule changes
● Provide day-to-day personal support and handle errands as needed
● Serve as a reliable point of contact for quick problem-solving and support
QUALIFICATIONS:
● Experience supporting an executive or similar role preferred
● Exceptional organizational skills and attention to detail
● Strong time management and ability to prioritize effectively
● Clear, professional written communication
● Professional, proactive, and trustworthy — comfortable handling confidential information with discretion
● Tech-savvy and comfortable with calendar and productivity tools (Google Workspace, ClickUp or similar); interest in using AI tools to work efficiently is a plus
● A reliable self-starter who can work independently and manage responsibilities with minimal supervision
● Full-time availability, in-office in Lehi, UT; valid driver’s license
