As a Executive Assistant , you will serve as a trusted partner to senior leaders, providing high-level administrative and operational support that enables business efficiency and seamless day-to-day execution. This role is ideal for a highly proactive, detail-oriented, and organized professional who thrives in a fast-paced environment, manages multiple priorities with ease, and consistently delivers exceptional service to internal and external stakeholders.
Key Responsibilities
In this opportunity, you will:
- Provide executive support by managing complex calendars, coordinating meetings, screening communications, and anticipating the needs of senior leaders.
- Arrange domestic and international travel, including flights, accommodations, transportation, visas, and detailed itineraries.
- Prepare, edit, and format confidential documents, reports, correspondence, and executive-level presentations.
- Maintain organized records, files, and shared repositories, ensuring accuracy, confidentiality, and effective version control.
- Partner with Finance to support expense management, budget tracking, purchase requisitions, forecasting inputs, and reporting activities.
- Coordinate conferences, team events, town halls, offsites, and client meetings, including logistics, vendor management, participant communications, and materials preparation.
- Act as a key point of contact for internal teams, senior stakeholders, external clients, and vendors, ensuring professional and timely communication.
- Train and support administrative team members by sharing best practices, tools, and process knowledge.
- Identify opportunities to improve workflows, increase efficiency, and enhance administrative processes.
- Provide project coordination support by tracking timelines, monitoring action items, facilitating follow-ups, and escalating risks when appropriate.
- Leverage Artificial Intelligence (AI) tools and digital productivity solutions to streamline administrative workflows, enhance efficiency, support research, content creation, scheduling, and day-to-day business operations.
- Handle highly sensitive and confidential information with discretion and professionalism.
- Successfully manage multiple priorities simultaneously while maintaining exceptional attention to detail and accuracy.
Required Qualifications
You're a fit for the role if you have the following qualifications:
- 3+ years of progressive administrative experience supporting senior leaders or executives in a professional and fast-paced environment.
- Advanced English proficiency (written and verbal), with the ability to confidently communicate, prepare documentation, and interact with global stakeholders.
- Degree in Business Administration, Communications, Executive Assistant Studies, or a related field, or equivalent professional experience.
- Strong proficiency with Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, and Teams.
- Demonstrated ability to manage complex calendars, travel arrangements, meetings, and executive priorities.
- Exceptional organizational skills with a strong attention to detail and commitment to accuracy.
- Highly proactive mindset with the ability to anticipate needs, solve problems independently, and take initiative.
- Ability to effectively manage multiple tasks, competing priorities, and changing deadlines.
- Strong interpersonal and communication skills, with the ability to interact professionally at all levels of the organization.
- Proven ability to handle confidential information with discretion and sound judgment.
- Experience coordinating projects, tracking deliverables, and ensuring timely follow-up on action items.
- Strong internet research and information-gathering skills.

Preferred Qualifications
- Experience supporting executives within a global or multinational organization.
- Experience with expense management systems, travel platforms, and procurement processes.
- Familiarity with SharePoint, OneDrive, and other collaboration tools.
- Experience coordinating large-scale events, conferences, leadership meetings, or company-wide initiatives.
- Previous experience mentoring or training administrative professionals.
- Demonstrated track record of driving process improvements and administrative efficiencies.
- Ability to thrive in a highly dynamic environment requiring flexibility, adaptability, and strong multitasking skills.
- Demonstrated interest in and comfort with using Artificial Intelligence (AI) tools, such as Microsoft Copilot, ChatGPT, or similar technologies, to enhance productivity, streamline administrative processes, support research and content creation, and improve day-to-day operational efficiency.
