About your role
This role is responsible for managing and coordinating administrative operations to maintain high standards, enhance a safe working environment, and ensure seamless execution of indoor and outdoor activities, infrastructure functionality, and regulatory compliance. Key responsibilities include overseeing canteen operations, uniforms, office supplies, transportation, waste management, factory licenses and taxes, building and garden maintenance, and administrative systems such as CCTV, fire alarms, and conference facilities.
What You'll Do
Leadership and Team Management:
- Supervise and guide direct report and admin service provider (s) to implement and execute tasks efficiently across indoor, outdoor, infrastructure, and compliance areas.
Indoor Task Management:
- Oversee the canteen operations, uniform distribution, office supplies, PPE supply, transport requests, and housemaid arrangements. Scope cover LCB, PIP and B1835 plants.
Outdoor Task Management:
- Supervise shuttle van services, waste disposal, and the maintenance of building and garden conditions. Scope cover LCB, PIP and B1835 plants.
Infrastructure Maintenance:
- Manage the functionality and maintenance of conference systems, meeting rooms, access control, CCTV, fire alarms, phones, and public speakers. Scope cover LCB, PIP and B1835 plants.
Regulatory Compliance:
- Handle all licenses, permits, and reporting requirements with IEAT and government agencies, including operation and construction permits, ensuring adherence to legal and regulatory standards. Scope cover LCB, PIP and B1835 plants.
Quality Assurance:
- Ensure all tasks are completed in compliance with GMP hygiene standards and maintain high levels of employee satisfaction with administrative services.
Budget Management:
- Develop, monitor, and control the budget for all administrative tasks, ensuring cost-effectiveness while achieving organizational objectives.
Continuous Improvement:
8. Identify and implement improvements in processes, services, and systems to enhance operational efficiency and employee satisfaction
What You need to be successful
- Bachelor’s degree in any field
- At least 10 years’ experience in administration work, especially in manufacturing environment
- Good interpersonal skills and persuasive communication
- Computer literate with basically knowledge of Ms. Offices
- Possess knowledge of factory administration management
- Preferrable familiar with ISOs and food industry standard i.e. ISO 9001/14001/45001, GMP, and FSSC 22000
