The Facility Coordinator plays a vital role in ensuring the smooth day-to-day operation of the client’s workplace. Acting as the first point of contact for facility-related inquiries, you will coordinate service delivery, manage helpdesk tickets, and support the Facility Manager in administrative and operational tasks. This role is critical in maintaining high levels of occupant satisfaction, safety, and efficiency across the assigned site(s).
### Key Responsibilities
1. Helpdesk & Request Management
- Serve as the primary point of contact for employee facility requests via phone, email, or the Integrated Workplace Management System (IWMS/CAFM).
- Log, track, and dispatch work orders to appropriate internal technicians or external vendors (e.g., HVAC, plumbing, electrical, cleaning).
- Monitor ticket status to ensure timely resolution and compliance with Service Level Agreements (SLAs).
- Follow up with requestors to confirm satisfaction upon completion of tasks.
2. Vendor & Service Provider Coordination
- Coordinate daily activities of soft service providers (cleaning, security, waste management, landscaping) and hard service contractors.
- Conduct regular site walks to inspect service quality and identify maintenance issues or safety hazards.
- Verify vendor attendance logs and work completion records for monthly invoice validation.
- Escort authorized vendors to sensitive areas and ensure they adhere to site safety protocols (Permit to Work).
3. Administrative & Operational Support
- Maintain up-to-date facility documentation, including floor plans, asset registers, warranty certificates, and emergency contact lists.
- Assist in the preparation of monthly performance reports, KPI dashboards, and meeting minutes.
- Manage inventory of office supplies, spare parts, and key cards/access badges.
- Support the planning and execution of office moves, space changes, and small-scale renovation projects.
4. Health, Safety & Environment (HSE) Compliance
- Ensure all facility operations comply with local regulations and company HSE policies.
- Report any safety incidents, near-misses, or hazardous conditions immediately to the Facility Manager.
- Assist in organizing fire drills, safety training sessions, and emergency preparedness activities.
- Monitor building systems (lighting, temperature, air quality) to ensure a comfortable and safe working environment.
5. Occupant Experience
- Proactively engage with occupants to gather feedback on workplace services.
- Assist in organizing workplace events or initiatives that enhance employee engagement and well-being.
- Address minor complaints promptly and escalate complex issues to the Facility Manager when necessary.
Qualifications & Requirements
- Education: Associate’s or Bachelor’s degree in Facility Management, Business Administration, Hospitality, or a related field.
- Experience: 1–3 years of experience in facility coordination, office administration, or customer service roles.Prior experience in a corporate real estate or property management environment is preferred.
- Technical Skills: Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).Familiarity with IWMS/CAFM platforms (e.g., Tririga, Archibus, ServiceNow) is a plus.
- Language: Fluent in Mandarin Chinese; good written and verbal English skills are required for reporting and global communication.
- Certifications: FMP (Facility Management Professional) or similar entry-level certification is advantageous but not mandatory.
