Legal Operations Specialist, Poznań
Role Overview
Are you ready to help shape the way Legal Operations are delivered in a modern, international legal function? We’re looking for a Legal Operations Specialist to join our Group Legal & Compliance team and play an active role in driving structured, efficient and reliable ways of working across the function. Reporting to the Legal Operations Manager, this role offers the opportunity to take responsibility for key operational activities, support the smooth delivery of core Legal Operations processes, continuous improvement and the further development of Legal Operations ways of working and tools.
What You’ll Be Doing:
- Financial administration: Managing invoices, Purchase Orders and payment documentation for external legal services, ensuring accurate and timely processing while identifying opportunities for simplification and automation.
- Legal Operations systems: Administering and improving Legal Operations systems and document management tools, including Company Register, Dispute List and CLM solutions, while supporting implementation, testing and data preparation.
- Compliance and governance support: Maintaining legal information, registers and documentation, supporting good governance practices and helping ensure that key records remain accurate, accessible and aligned with internal requirements
- Operations, reporting and coordination: Coordinating recurring activities, follow-ups and Legal Operations initiatives, including data collection and validation, report preparation and Power BI reporting support.
- Stakeholder coordination and training: Coordinating with internal stakeholders and external service providers, ensuring effective communication and follow-up, and supporting training materials and sessions for Legal Operations tools and processes.
We’re looking for someone who:
- Brings a structured, service-minded and approachable mindset to supporting colleagues in an international environment.
- Is organized, reliable and able to manage multiple priorities.
- Handles confidential information responsibly in a compliance-driven environment.
- Communicates clearly and professionally in English, both written and spoken,
- Has experience in administration, finance/procurement, Legal Operations, project coordination or a similar process-driven role; legal-sector experience is an advantage, but not required.
- Is proficient in Microsoft Office, SharePoint and document management tools; knowledge of SAP, Ariba, CLM, third-party screening tools or Cora SeQuence is an advantage.
- Has good analytical skills and an interest in data, reporting and progress tracking.
- Learns new digital tools quickly and looks for ways to simplify, standardize and improve processes.
