Project Coordinator

Position Summary

- Support the Project/Program Manager in planning, scheduling, and tracking tasks and deliverables across one or more concurrent projects.

- Maintain accurate and up-to-date project documentation, including project plans, status reports, meeting minutes, and action item logs.

- Coordinate and schedule project meetings with stakeholders, ensuring agendas, materials, and follow-up notes are distributed in a timely manner.

- Track project risks, issues, and action items, following up with owners to help ensure timely resolution.

- Maintain project management tools (e.g., Jira, SharePoint, Smartsheet) to keep task status, timelines, and dependencies current.

- Prepare status reports, dashboards, and presentation materials summarizing project progress for leadership and stakeholders.

- Support onboarding of new team members and vendors to project processes, tools, and PMO standards.

- Facilitate communication and information flow between technical and non-technical teams involved in a project.

- Help enforce PMO governance, templates, and standard processes across assigned projects.

- Perform other administrative and coordination duties as assigned by the Project/Program Manager or PMO leadership.

Skills:

- Organizational skills — Tracking multiple tasks, deadlines, and deliverables across projects without letting details slip. This includes maintaining schedules, action item lists, and document repositories in a way others can follow.

- Communication skills — Clearly conveying updates, status reports, and requests to project managers, team members, and stakeholders, both in writing (emails, meeting notes) and verbally (status meetings, check-ins).

- Basic project management tool proficiency — Comfort with tools like Jira, MS Project, Smartsheet, or Asana for tracking tasks, timelines, and dependencies, since coordinators are often the ones keeping these systems updated day to day.

- Attention to detail — Catching inconsistencies in schedules, budgets, or documentation before they become bigger problems; accuracy matters a lot at this level since coordinators often handle the granular tracking that PMs rely on.

- Problem-solving and adaptability — Handling shifting priorities, scheduling conflicts, or last-minute changes calmly, and knowing when to escalate an issue versus resolving it directly.

Requirements

Education: Typically requires an associates or bachelor's degree (or international equivalent)

Experience: 0–2 years of relevant experience in project coordination, administrative support, or a related discipline.

Preferred Qualifications:

- Associate's or Bachelor's degree in Business Administration, Project Management, or a related field.

- Proficiency with project management and collaboration tools such as MS Project, Smartsheet, Jira, or Confluence.

- Strong organizational skills, attention to detail, and ability to manage multiple priorities in a fast-paced environment.
