General Function:

The Administrative Support & Service Coordinator is responsible for supporting the daily operational activities of Belvac Europe by coordinating service activities, managing office administration, and overseeing Health, Safety, and Environmental (HSE) administrative compliance. This role serves as a key support resource for service operations, office management, and employee safety administration while ensuring efficient communication and coordination across internal and external stakeholders.

Primary Responsibilities:

Service Coordination

- Serve as the primary administrative contact for customers regarding service requests, scheduling requirements, and service visit timelines.
- Coordinate technician schedules, resource availability, and customer site visit logistics in collaboration with the Service Coordinator.
- Provide administrative support for travel arrangements including flights, hotels, and related logistics.
- Process special travel and service documentation as required.
- Prepare service invoicing documentation, generate cost estimates, support invoice processing, and facilitate financial closure of service activities.
- Maintain accurate service records and documentation.

Office Administration

- Manage office supplies, refreshments, and miscellaneous office purchases.
- Process incoming and outgoing mail, answer telephone inquiries, and manage general office correspondence.
- Maintain filing systems, databases, contracts, and purchase order records in accordance with company and ISO requirements.
- Provide administrative support to the Director of Business Operations and Account Management teams.
- Support routine office operations to ensure efficient daily business activities.

Health, Safety & Environmental (HSE) Administration

- Act as the primary coordinator for external HSE service providers.
- Monitor employee safety training requirements and organize onboarding and recurring safety training sessions.
- Maintain required safety documentation, including incident records, risk assessments, and inspection reports.
- Coordinate occupational health examinations and ensure compliance with statutory requirements.
- Support compliance with local regulations, company policies, and ISO standards.

Education:

- Secondary education with graduation certification required.
- Business, economics, administrative, or related field preferred.

Experience:

- Minimum 1–2 years of experience in an administrative, operational support, or service coordination role.
- Experience in a manufacturing, industrial, machinery, or technical environment preferred.

Language Requirements:

- Fluent Czech language skills required.
- Working proficiency in English required for internal communication and business systems.

Skills:

- Excellent business writing, customer service, and administrative skills; Organizational; Proficient in computer & mfg systems including Microsoft Office; Multi-project/task management.
