ABOUT THE ROLE
Provide a high-level of administrative and executive support to the Museum Director and Board of Directors.
WHAT YOU WILL DO:
Support For The Museum Director (80%)
- Represent the Director’s Office in a professional manner and maintain a positive effective working relationship with all Museum departments, Board members, etc.
- Ensure the efficiency and effectiveness of the administration and operation of the Director’s Office.
- Oversee the incoming and outgoing correspondence and communication.
- Schedule appointments and assemble materials for appointments. Tactfully screen requests as necessary.
- Coordinate travel arrangements.
- Manage expense reports.
- Prepare annual Director’s office budget.
- Assist in the preparation of Keynote/PowerPoint presentations and speaking points.
- Provide support for, and facilitate Director’s involvement in, various fundraising activities, initiatives, programs, and special events.
- Serve as liaison between the Director’s office and the Board of Directors, Woodruff Arts Center, local community, business and cultural leaders, other museums, government offices, and foundations.
Administrative Support for the Board of Directors (20%)
- Ensure the efficiency and effectiveness of tasks related to the administration of the Board of Directors.
- Schedule all Executive Committee and Full Board meetings.
- Work with the Director, Board Chair, and leadership team to develop agenda items.
- Draft agendas, calendars, notification letters, and ensure that the Board of Directors receives all correspondence in a timely manner.
- As needed, schedule Board meeting receptions (catering and room reservation, etc.)
- Attend all Executive Committee and Full Board meetings.
- Produce minutes for Executive Committee meetings, full Board meetings.
- Manage incoming and outgoing correspondence and communication as needed.
- Supervise production of Board Directory.
- Assist in preparation of materials and logistics for New Trustee Orientation as well as the Past Trustee Roundtable.
- Maintain Board files.
- As needed, serve as liaison between the Board chair, the High, and Woodruff Arts Center staff members.
- Service Board members regarding visits to other museums and cultural institutions.
- As needed, provide general and specific assistance with matters that require the Chair’s attention and response.
WHAT WILL WE EXPECT OF YOU:
- Possess excellent organizational skills; the ability to communicate effectively and efficiently; and to work autonomously and proactively.
- Proficiency in Microsoft Office – Word, Outlook, PowerPoint, Excel
- Proficiency with Mac-based applications and software - Keynote required
- Handle confidential information in a discrete manner.
Education and Experience
- Bachelor's degree
- 5 years of experience supporting a C-Suite Leader
Language Skills
- Ability to read, analyze and interpret general business periodicals and other related publications, catalogues, and correspondence.
- Ability to write reports, business correspondence, and procedures.
- Ability to effectively present information to the museum staff and Board of Directors.
Mathematical Skills
- Ability to maintain a departmental budget.
- Ability to present information in report form.
