Job Title: Buyer Administrative Assistant Job Description
The Buyer Administrative Assistant provides comprehensive administrative and operational support to the Buying and Procurement teams in a fast-paced manufacturing environment. This role maintains accurate data in ERP systems, tracks purchase order activity, and coordinates closely with Planning, Manufacturing, Quality, Engineering, and Finance to ensure timely and compliant purchasing operations. The successful candidate is proactive, highly organized, and committed to accuracy and strong internal customer service.
Responsibilities
- Provide daily administrative support to Buyers and Procurement team members to ensure smooth purchasing operations.
- Create, update, and maintain purchasing records and related data in ERP systems such as Shop Floor, Net-Link, or Siwa.
- Support the full purchase order process, including order entry, confirmations, and follow-up activities.
- Track open purchase orders, supplier acknowledgements, and delivery dates to help ensure on-time delivery.
- Maintain procurement files, reports, and training documentation in an organized and accessible manner.
- Assist with sourcing requests, including data entry, basic research, and preparation of reports.
- Prepare and update purchasing and supply chain reports to support decision-making and performance tracking.
- Communicate regularly with internal stakeholders, including Planning, Manufacturing, Quality, Engineering, and Finance teams, to share status updates and resolve issues.
- Support the resolution of invoice discrepancies and supplier-related issues by coordinating with Accounts Payable and other internal teams.
- Help ensure adherence to company procedures, Good Manufacturing Practice (GMP) requirements, and procurement policies.
- Participate in continuous improvement initiatives by identifying process gaps and contributing to updates of process documentation.
- Manage multiple priorities and tasks simultaneously while maintaining a high level of accuracy and timeliness.
Essential Skills
- 1–3 years of experience in administrative, purchasing, procurement, or supply chain support roles.
- Experience providing administrative support in a fast-paced environment.
- Strong proficiency with Microsoft Office, particularly Excel for data handling and reporting, and Outlook for communication and scheduling.
- Experience working with ERP systems, with preference for platforms such as Shop Floor, Net-Link, or Siwa.
- Excellent organizational and time management skills with the ability to prioritize tasks effectively.
- Strong written and verbal communication abilities for interacting with internal stakeholders and documenting processes.
- High attention to detail and accuracy in data entry, record maintenance, and documentation.
- Ability to manage multiple priorities and work independently with minimal supervision.
Additional Skills & Qualifications
- Experience in manufacturing or regulated environments is an asset.
- Familiarity with procurement processes and supply chain operations.
- Comfort working cross-functionally with Planning, Manufacturing, Quality, Engineering, and Finance teams.
- Commitment to internal customer service and collaborative problem-solving.
- Interest in contributing to continuous improvement and process optimization initiatives.
Work Environment
This position operates in a fast-paced manufacturing and procurement environment, working closely with cross-functional teams such as Planning, Manufacturing, Quality, Engineering, and Finance. The role is office-based and heavily computer-focused, with regular use of ERP systems (such as Shop Floor, Net-Link, or Siwa) and Microsoft Office tools including Excel and Outlook. Standard work hours are Monday through Friday, 8:00 AM to 5:00 PM, providing a consistent daytime schedule. The environment emphasizes adherence to company procedures and GMP requirements, accuracy in data management, and strong collaboration across departments.

This is a Contract position based out of Red Lion, PA.
Pay and Benefits
The pay range for this position is $22.00 - $25.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors. Eligibility requirements apply to some benefits and may depend on your job
classification and length of employment. Benefits are subject to change and may be
