Job Summary:
The Administrative Coordinator - Support Services serves as the primary point of contact for visitors, employees, vendors, and community partners entering the Support Services area, which includes HR, IT, Accounting, Marketing and Development. This position is responsible for maintaining front desk operations, receiving and distributing mail and deliveries, providing administrative support to departments within Support Services, and ensuring a welcoming, professional, and efficient environment for all guests and team members.

Job Description

Essential Functions

Front Desk Operations

- Serve as the first point of contact for visitors entering the Support Services area.
- Greet and direct visitors, vendors, applicants, and community partners in a professional and courteous manner.
- Answer and route incoming phone calls and inquiries.
- Maintain visitor sign-in procedures and provide visitor badges when required.
- Support building security and access procedures by monitoring front desk activity.

Mail and Delivery Coordination

- Receive, sort, and distribute incoming mail, packages, and deliveries.
- Coordinate outgoing mail and shipping activities.
- Serve as the primary contact for delivery vendors and courier services.
- Maintain organized mail and package storage areas.

Administrative Support

- Provide administrative assistance to Support Services departments as needed.
- Assist with scheduling meetings and managing conference room reservations.
- Prepare, organize, and distribute documents, correspondence, and reports.
- Maintain office supplies and coordinate replenishment of inventory.

Office Coordination

- Help maintain a professional, organized, and welcoming office environment.
- Coordinate with facilities and other departments to address building-related concerns reported through the front desk.
- Support employee and visitor inquiries by directing them to appropriate resources.
- Perform other duties as assigned.

Minimum Qualifications

Required Skills

Education

- High school diploma or equivalent; associate degree preferred.

Experience

- 2+ years of experience in administrative support, reception, customer service, or office coordination roles preferred.

Knowledge / Skills

- Strong customer service and interpersonal skills.
- Excellent verbal and written communication abilities.
- Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel.
- Strong organizational skills and attention to detail.
- Ability to prioritize tasks and manage multiple responsibilities in a fast-paced environment.
- Ability to handle confidential information with professionalism and discretion.
- Dependable, self-motivated, and service-oriented approach to work.
