ABOUT THE ROLE
The Traffic Coordinator supports agency-wide resource planning and work prioritization across Creative Services and related agency teams. This role maintains visibility into active, upcoming, and proposed work to help ensure the right internal team members, vendors, and freelance partners are aligned to the right priorities at the right time. The Traffic Coordinator keeps a high-level pulse on all creative work to support effective resource allocation, identify capacity concerns, and help leadership make informed decisions when priorities shift or team adjustments are needed.
The role partners closely with Service Operations, Project Managers, department leaders, and agency leadership to support project intake, workflow visibility, resource planning, and process improvement. Success in this role requires strong organization, clear communication, attention to detail, and the ability to balance competing needs across multiple teams and workstreams.

RESPONSIBILITIES
Traffic & Resource Coordination
- Maintain agency-wide visibility into active, upcoming, and proposed work across internal teams, vendors, and freelance partners.
- Support resource planning by helping align work to the appropriate team members based on capacity, skill set, availability, business priority, and timing.
- Identify potential resource gaps, over-allocation, bottlenecks, or priority conflicts and escalate concerns to Service Operations, PMO, and department leadership.
Project Intake & Work Routing
- Support project intake by reviewing incoming work for resource needs, timing considerations, required skill sets, and potential impacts to existing priorities.
- Partner with Account Managers, Project Managers, and department leads to determine appropriate routing of new work.
- Flag intake gaps, unclear requests, or resourcing concerns that may impact the ability to staff work effectively.
PMO & Workflow Support
- Support PMO standards, workflow processes, and operational best practices that improve how work is prioritized, routed, and resourced.
- Contribute to process improvement efforts related to intake, prioritization, capacity planning, and resource visibility.
- Help maintain high-level workload and capacity reporting for agency leadership.
Cross-Functional Communication
- Serve as a resource coordination point for internal stakeholders seeking visibility into team capacity and work prioritization.
- Communicate clearly with Service Operations, Project and Account Management, department leads, and agency leadership regarding resource availability, competing priorities, and capacity concerns.
- Partner with internal teams, vendors, and freelancers to align staffing when additional or specialized support is needed.
QUALIFICATIONS
- Two (2) to four (4) years of experience in traffic coordination, resource coordination, creative operations, agency operations, marketing operations, workforce planning, or related operational support role.
- Experience supporting resource planning, prioritization, capacity visibility, or work routing in a creative agency, marketing department, production environment, or client services organization is preferred.
- Familiarity with workflow, resourcing, or project management tools such as Asana, Workfront, Monday.com, Wrike, Jira, Azure DevOps, or similar platforms.
- Ability to assess competing priorities across multiple teams and help support resourcing recommendations.
- Working knowledge of creative development, digital marketing, print production, web development, customer experience, or related agency workflows preferred.
- Strong written and oral communication skills with the ability to clarify needs, surface constraints, and communicate resource considerations across teams.
- Associate's or bachelor's degree in Business, Communications, Marketing, Project Management, or related field preferred.
- Equivalent combination of education and relevant experience will be considered.

This position operates in an office setting and may have access to the production floor.
