The Administrative Assistant, Procurement and Financet plays a key role in providing administrative, operational, and coordination support to the Procurement and Finance teams. The incumbent serves as a central point of coordination among internal stakeholders and contributes to the smooth execution of operations, the quality and accuracy of information, and the overall efficiency of departmental processes.
Working in a dynamic environment, the Executive Assistant ensures effective administrative support, facilitates communication across teams, and helps optimize activities and priorities in support of business objectives.
What you will do
• Provide proactive and efficient calendar management support to the Procurement and Finance leadership teams, including scheduling, prioritization, and coordination of competing demands.
• Coordinate and organize various meetings, including the preparation and translation of supporting documents and presentations, as well as tracking action items and commitments.
• Draft, process, and manage a variety of correspondence, publications, and internal communications, including distribution list management and the optimization of communication tools such as SharePoint, Teams, and email.
• Manage travel arrangements through corporate booking platforms, as well as executive expense reports and corporate credit card administration.
• Coordinate and support the planning, content development, and logistics for internal events, special projects, and team activities.
• Respond to internal inquiries and assist employees with a range of administrative needs related to the Procurement and Finance departments.
• Monitor compliance registrations and coordinate communications with government authorities regarding compliance-related identification numbers.
This role could be for you if you have
• 5 to 7 years of experience in an administrative support and/or executive assistant role.
• A vocational, college, or post-secondary diploma (DEP, AEC, or DEC) in Administration, Secretarial Studies, or a related field.
• Full professional proficiency in both French and English, written and spoken.
• Advanced proficiency with the Microsoft Office Suite.
• Strong organizational skills and a demonstrated ability to work proactively, maintain confidentiality, exercise sound judgment, work independently, and effectively manage priorities.
