About this Position

The Policy Owner Services Keying Team is responsible for the accurate and timely processing of life insurance transactions for existing policyholders. The team supports the servicing of in-force policies by reviewing, validating, and processing policy changes, reinstatements, and other policy owner requests while ensuring compliance with company, state, and regulatory requirements. Through a commitment to quality, accuracy, and customer service, the team plays a critical role in maintaining policy integrity and delivering a positive experience for policyholders, agents, and internal business partners.

Salary range between $31K - $33K Annually

Responsibilities & Qualifications

The Operations Clerk is responsible for reviewing, validating, and processing policy owner service transactions, including policy change requests and reinstatements. This role requires strong attention to detail, the ability to navigate multiple systems, and a thorough understanding of company procedures and compliance requirements. The Operations Clerk ensures transactions are completed accurately, efficiently, and within established service levels while maintaining high standards of quality and customer service.

This position requires effective collaboration with internal departments, and business partners to resolve issues, ensure regulatory compliance, and support the overall operational goals of the organization. The ideal candidate is detail-oriented, customer-focused, adaptable, and capable of managing multiple priorities in a fast-paced environment. This position requires the ability to work both onsite and remotely, as well as support overtime needs during weekdays and weekends as business demands require.

Primary Responsibilities

- Process Policy Change Forms (PCFs) and Reinstatement (RST) requests for terminated policies, including increases and decreases in coverage, beneficiary changes, ownership updates, and other policy modifications.
- Review and screen policy service documents for appropriate signatures, dates, required forms, and supporting documentation to ensure compliance with state regulations, company policies, and product requirements.
- Verify product compatibility and policy eligibility before processing requested changes.
- Accurately key and update policy information across multiple systems while maintaining established productivity and quality standards.
- Validate agent code information and confirm agent licensing status is active and compliant with state, company, and departmental regulatory guidelines and procedures.
- Research, identify, and resolve discrepancies, incomplete documentation, and processing exceptions to ensure accurate policy administration.
- Process incoming correspondence by document type and ensure timely routing of work items to the appropriate areas.
- Maintain detailed records of transactions and activities in accordance with company procedures and audit requirements.
- Collaborate with internal partners, including Customer Service, Licensing, New Business, Underwriting, Quality Assurance, and Operations teams, to resolve issues and support business objectives.
- Meet departmental service level agreements, production goals, and quality standards while maintaining a high degree of accuracy.
- Participate in training, process improvement initiatives, system implementations, and departmental projects designed to enhance operational efficiency.
- Maintain current knowledge of company products, processing procedures, compliance requirements, and system updates.
- Support additional operational needs, including overtime assignments during weekdays and weekends when required to meet business demands.

Qualifications

- High School Diploma or equivalent required.
- Previous experience in insurance operations, policy administration, data entry, customer service, or a related operational environment preferred.
- Strong attention to detail and commitment to accuracy.
- Ability to review and interpret forms, documents, and transaction requests while ensuring compliance with established guidelines.
- Strong organizational, analytical, and problem-solving skills.
- Ability to manage multiple priorities in a fast-paced, production-driven environment.
- Effective verbal and written communication skills.
- Proficiency with Microsoft Office applications and the ability to learn multiple business systems.
- Ability to work independently and collaboratively in both onsite and remote work environments.
