Position Summary

The Transportation Manager is responsible for overseeing the daily operational and staffing needs of the organization’s transportation services. This role ensures the smooth coordination and management of all operations, including monitoring vehicle inventory, (including purchasing as well as disposal) managing the GPS system information (i.e.GoMotive) for vehicle tracking, and ensuring efficient transportation processes. The manager provides strategic direction and execution of all transportation matters across the organization, overseeing the Transportation Coordinator and a diverse fleet of vehicles supporting various programs and services, such as day/employment programs and services, and Supportive Housing transportation. The position ensures safety, efficiency, and cost effectiveness .

Key Responsibilities

Leadership & Team Development

- Collaborate with organizational leadership to support strategic initiatives and organizational growth.

- Partner with departments across the organization to ensure transportation needs are met.

- Supervise, coach, and develop Transportation Coordinators and drivers.

- Facilitate monthly transportation team meetings and maintain open communication with staff.

- Support employee onboarding, orientation, and training initiatives.

- Conduct 30-day, 60-day, 90-day, and annual performance evaluations.

- Participate in recruitment, interviewing, hiring, and retention efforts for transportation staff.

- Ensure staff maintain required certifications and training requirements.

Transportation Operations

- Oversee daily transportation operations to ensure safe, efficient, and high-quality services.

- Ensure all transportation routes are staffed and routinely evaluated for effectiveness and efficiency.

- Coordinate transportation changes related to admissions, discharges, and address updates.

- Serve as backup for the Transportation Coordinator when needed.

- Monitor service quality and respond promptly to transportation concerns or complaints.

- Conduct customer service follow-up with drivers, individuals served, and family members.

Fleet Management

- Manage and maintain a fleet of approximately 155 vehicles.

- Maintain accurate fleet inventory records within the transportation management system.

- Monitor vehicle maintenance schedules and ensure repairs are completed in a timely manner.

- Ensure all required vehicle documentation, registrations, insurance cards, and safety equipment remain current.

- Purchase new vehicles and complete registration, titling, insurance, and fleet assignment processes.

- Coordinate the sale or disposal of vehicles removed from service.

- Participate in fleet replacement and capital improvement planning.

Safety & Compliance

- Ensure compliance with all licensing, regulatory, and organizational transportation standards.

- Monitor daily, weekly, and monthly vehicle inspection processes.

- Conduct audits of transportation documentation and accountability processes.

- Assist with accident investigations, reporting, and insurance claims management.

- Participate in corrective action planning related to incidents, audits, or compliance reviews.

- Collaborate with Safety and Quality teams to maintain accurate fleet and compliance records.

- Ensure all vehicles are equipped with required safety equipment and emergency supplies.

Technology & Reporting

- Utilize transportation software and GPS systems to improve efficiency and accountability.

- Train staff on transportation technology and software tools.

- Generate reports and analyze transportation data to identify opportunities for improvement.

- Monitor and document Driver Alert calls and ensure appropriate follow-up.

- Maintain electronic transportation records and reporting systems.

- Promote the use of technology among transportation staff to improve service delivery.

Administrative Responsibilities

- Approve employee timecards and monitor staffing budgets.

- Complete Employee Status Forms and personnel documentation for direct reports.

- Monitor attendance, staffing levels, and workforce productivity.

- Prepare reports and recommendations for leadership related to transportation operations and fleet performance.

Qualifications

Education

- Bachelor's degree in Business Management, Transportation Management, Logistics, Public Administration, or a related field required.

Experience

- Previous supervisory or management experience required.

- Experience managing transportation operations, fleet services, logistics, or a related field preferred.

- Experience supervising staff and leading operational teams preferred.

Supervisory Responsibilities

- Directly supervises the Transportation Coordinator and Transportation Drivers.

- Responsible for performance management, scheduling, employee development, and operational oversight.

Travel Requirements

- Local travel throughout service areas as needed.

- Occasional travel for training, conferences, and professional development opportunities.

Physical Requirements

This role involves regular standing, walking, lifting (up to 50 lbs), and hands-on support. Reasonable accommodations are available.
