SUMMARY
The Supervisor provides frontline leadership for a designated functional team within the clinic. This role manages daily workflow, monitors productivity and quality, enforces policy compliance, and provides real time coaching and support. The Supervisor acts as a support to the Site Manager/Clinic Operations Manager, ensuring team performance aligns with organizational standards. This role may supervise a single site or support the Site Manager at larger or multi site locations. Minimal travel required.
RESPONSIBILITIES
Operational Leadership & Workflow Management
- Oversee daily workflow for the assigned team to ensure timely and accurate completion of duties.
- Assign tasks, set priorities, and adjust workloads to maintain operational efficiency.
- Ensures accurate documentation, billing, and records management.
- Monitor productivity, service quality, and task execution; provide immediate feedback.
- Escalate operational concerns or barriers to the Site Manager/Clinic Operations Manager promptly.
Staff Leadership & Performance Management
- Provide daily coaching, support, and directions to team members.
- Assist with onboarding, training, and skill development.
- Address minor disciplinary issues and performance gaps, escalating larger concerns to the Site Manager/Clinic Operations Manager.
- Participate in scheduling, coverage coordination, and timecard approval in collaboration with the Site Manager/Clinic Operations Manager.
- Participate in performance evaluations and provide constructive feedback to team members in collaboration with the Site Manager/Clinic Operations Manager.
Communication & Staff Support
- Serve as a liaison between team members and the Site Manager/Clinic Operations Manager.
- Lead daily huddles; communicate workflow changes, updates, expectations, and organizational priorities.
- Support patient service needs within the teams scope and assist with immediate service recovery as needed.
Compliance, Safety & Quality
- Ensure team adherence to clinic policies, HIPAA, HRSA, OSHA, and health plan requirements, and all federal and state regulatory standards.
- Identify compliance gaps and immediately alert the Site Manager/Clinic Operation Manager to risks or incidents.
- Support employee and patient safety and contribute to maintaining the environment of care.
- Maintain Emergency Management readiness and support related preparedness activities.
- Support completion of required training and proper documentation within the team.
Financial & Resource Stewardship
- Monitor routine supply use within the site and report shortages and ordering needs.
- Support cost-conscious resource utilization; identify inefficiencies and recommend improvements.
Facility, Vendor & Environmental Coordination
- Report facility, environmental, equipment, or vendor-related issues to the Site Manager/Clinic Operations Manager/Facilities.
- Help monitor the cleanliness and readiness of teamwork areas.
Process Improvement & Implementation
- Support implementation of new workflows and initiatives by training team members and monitoring adherence.
- Recommend improvements that increase team efficiency, quality, or service levels.
Administrative Duties
- Review and reconcile daily deposits (cash/check) and ensure accuracy.
- Manage email and calendar priorities; respond promptly to messages and calls.
- Schedule and lead monthly team meetings.
- Assist with monitoring key performance indicators, quality metrics, patient satisfaction, and other team metrics.
Other Duties
- Maintain confidentiality of sensitive information.
- Assist with documentation and team-specific procedures as directed.
- Perform other duties as assigned.
Qualifications
Education & Experience
High school diploma or equivalent required; associates degree preferred.
Minimum 2 years of experience in a medical office or clinic setting.
Prior supervisory or lead experience strongly preferred.
Skills & Attributes
Knowledge of healthcare compliance standards.
Strong organizational and multitasking abilities.
Excellent communication and interpersonal skills.
Proficiency in EHR systems and Microsoft Office Suite.
