DESCRIPTION:

The State Court Administrator’s office of the Minnesota Judicial Branch is pleased to announce an opening for an Office Assistant II. This is the main receptionist for the Minnesota Judicial Center (MJC) responsible for greeting visitors to determine their needs, directing individuals within the building, answering phones, transferring calls, and generally acting as a resource person for staff and the general public. Strong customer service orientation is essential.

EXAMPLE OF JOB DUTIES :

- Greet and assist visitors to the Minnesota Judicial Center.
- Prepare ground floor conference rooms and auditorium.
- Provide directions to MJC visitors.
- Answer incoming phone calls, answer general questions, and transfer calls to appropriate parties.
- Provide assistance to others in finding appropriate offices inside and outside of Judicial Center.
- Assist with scheduling conference rooms for court employees or outside agencies.
- Notify Facilities Management and Capitol Security when meetings take place after hours to ensure appropriate security coverage will take place.
- Assist Facilities Manager in reporting facility repairs.
- Provide other support to Facilities Manager as requested.
- Arrange appropriate security access for new employees.
- Assign spare loaner identification cards for employees without a card, and complete paperwork for employee identification cards.
- Manage database for MJC parking lot (Lot L) and garage parking.
- Maintain keycard database for non-MJC employees.
- Issue visitor security badges. Contact escort to accompany visitor to office space.
- Assist with annual law clerk onboarding as requested.
- Prepare and scan documents as requested. Assist with mailings as needed.
- Arrange meetings for staff and other duties as assigned.
- Assist other administrative assistants with overload work as time allows.
- Back up for mail room when mail room employee is out.

TYPICAL QUALIFICATIONS :

Minimum Qualifications

- Graduation from an approved high school. Preference is a degree from a vocational school in an office support or business-related field, or 3 years’ experience in an office support setting

Preferred Qualifications

- Experience working in a law office, courtroom, court-related setting, or other legal environment.

Knowledge Skills and Abilities:

- Highly skilled in Microsoft Office Suite products (MS Outlook, Word, Excel, PowerPoint).
- Excellent interpersonal and customer service skills.
- Excellent verbal and written communication skills.
- Ability to multi-task and manage multiple priorities and projects under deadlines.
- Ability to work as part of a team.
- Ability to learn new skills and take on new projects as required. Ability to take work direction from multiple stakeholders.
- Knowledge of modern office practices, procedures, methods, and equipment.
- May require periods of extended sitting, standing, and walking.
- Ability to lift items up to 25 pounds.

SALARY : The expected starting salary range for external candidates is $21.64-$26.53/hour ($45,184 - $55,395 annually). The full salary range for this position is $21.64 - $31.41 per hour ($45,184- $65,584 annually). This position is Non - exempt under the Fair Labor Standards Act and is eligible for State of MN employee benefits.

SUPPLEMENTAL INFORMATION

Position Logistics:

This position is classified as an Office Assistant II and will work predominantly normal business hours, Monday through Friday. Work is performed in an In-person environment.
